Position Overview:
We are seeking a proactive and detail-oriented Plant Admin to support daily operations at our petrochemical manufacturing site. This role is essential to ensuring smooth coordination between plant leadership, HR, and safety teams. Ideal candidates are organized, dependable, and comfortable working in a fast-paced industrial environment.
What You Will Be Doing:
- Provide direct administrative support to the Plant Manager on special projects and day-to-day operations
- Maintain confidential personnel, medical, and departmental records
- Supervise contractors and assist with site logistics as needed
- Coordinate new hire onboarding and assemble hourly new hire packets
- Assist recruiters with interview scheduling and referral tracking
- Schedule pre-employment and annual physicals for employees
- Order and maintain departmental supplies
- Conduct or support exit interviews and ensure proper documentation
- Manage TWIC renewals and distribute PPE vouchers (e.g., boots, eyewear)
- Post job bids and maintain grievance, corrective action, and job bid logs
- Process departmental purchases in SAP and reconcile monthly P-card statements
- Track employee service anniversaries and manage phone lists, seniority lists, and holiday schedules
- Coordinate HR-led events such as safety recognition, trainings, and employee luncheons
- Participate in monthly corporate HR calls and liaise with sister plant sites
- Maintain safety records, review concerns in the HSE database, and support compliance training
- Perform other duties as assigned by leadership or Corporate HR
Qualifications:
- High school diploma or general education degree (GED)
- 1 year to 3 years in secretarial / Administration Assistant field
- Experience in a chemical plant is highly preferred
- Excellent organizational and multitasking skills
- Proficiency in Microsoft Office (especially Outlook, Word, and Excel)
- Clear and professional communication skills (phone, email, in person)
- Ability to work collaboratively in a team environment
- SAP experience preferred
