Supervises: Not applicable
Primary Purpose: To assist secondary diagnostician and to keep accurate records of students with special educations services, their needs and maintain confidentiality.
Qualifications:
Education/Certification:
- High School Diploma or GED
Special Knowledge Skills:
- Ability to undertake general administrative duties;
- Know various software packages, e.g., Microsoft Office, Excel, PowerPoint;
- The ability to develop additional instructional technology competence as required;
- Experience working in an administrative and/or secretarial capacity;
- Bilingual (Preferred, but not required).
Experience:
Major Responsibilities and Duties:
- Maintain all special education folders for the campus.
- Record messages from parents or legal guardians concerning student with special education services.
- Contact parents of students with special education services.
- Make ARD / meeting appointments.
- Prepare ARD requests, referrals, and paper work for campus diagnostician.
- Provide assistance to parents and students as needed.
- Undertake other clerical duties such as photocopying, filing, using the fax machine, data analysis sheets.
- Accept and be responsible for delivery of confidential information, files, etc. by staff, parents and students.
- Maintain current information on students with special education services.
- Maintain records for students’ individual educational plans based on individual strengths and weaknesses according to local guidelines and current state-federal regulations.
- Provide paperwork in instances of dismissal when service is no longer needed.
- Ensure all paperwork, test data both educational and diagnostic is available and prepared prior to educational planning and/or ARDs.
- Maintain confidential eligibility records accurately and within timelines.
- Maintain confidentiality of students’ testing, diagnosis status, ARD paperwork, personal problems, etc.;
- Ensure that the legal files contain required documentation for monitoring and any other court requested purposes.
- Disseminate information regarding current laws and court cases that change special education practices (to multidisciplinary team members as provided by the diagnostician)
- Stay current on all federal and state and local special education guidelines.
- Work with ECISD diagnostician in preparation for ARD meetings and other legal proceedings including advocacy groups and/or other legal representatives.
- Assist with maintaining records for purpose of Medicaid reimbursement.
- Assist with coordinating services with outside agencies.
- Maintain a positive working relationship with teaching staff, counselors and administrators.
- Perform other duties as assigned.
- Assume other duties and responsibilities as assigned by the Campus Diagnostician or Special Education Department Leads.
