Welcome to ECYC Child Development Center in Rahway! We are seeking a Part-Time Front Desk Assistant.

JOB TITLE: AdministrativeAssistant/ Receptionist

REPORTS TO: Finance Manager

QUALIFICATIONS:

Education and Experience:

  • Minimum: High School Diploma
  • Preferred: College Business Courses
  • Minimum three years office/receptionist experience
  • Experienced and proficient on the computer in MS Office, Word, Excel, Outlook and ability to learn new programs as needed.
  • Strong organizational skills using proper follow-up and follow through techniques
  • Must be able to use discretion and maintain confidentiality

Essential Functions

  • Must be able to lift up to 30 lbs.
  • Must be able to accompany children to various parts of the building and outdoor space in emergency situations.
  • Must be able to read, write, and speak English clearly
  • Must be able to communicate clearly with families and staff in English
  • Ability to calculate figures and amounts including percentages
  • Must be willing to complete tasks outside of job description requested by supervisor as deemed necessary for the smooth operation of the Center
  • Must act in a professional and respectful manner at all times with families, visitors, program and administrative staff
  • Must read memos, reports, Center policies, emergency procedures and other related materials.

KEY RESPONSIBILITIES:

Reception Desk

  • Ensure security of the main entrance and monitoring of all other entries via installed camera monitors.
  • Greet all parents and visitors in a professional, friendly, and hospitable manner.
  • Answer, direct, and screen telephone calls and other inquiries in a courteous and professional manner directing inquiries to the appropriate person on staff.
  • Receive and direct deliveries to appropriate staff.
  • Distribute job applications to interested individuals.
  • Greet, and make welcome visitors and locate appropriate staff to assist them.
  • Ensure Tour Papers are filled out by perspective families.
  • Monitor and maintain lobby and entry areas for updated materials and cleanliness.
  • Maintain an adequate supply of all office supply materials such as tape, pens, ink cartridges, etc.
  • Keep Finance/Enrollment Director informed of expenditures.
  • Keep HR Project Administrator informed of staff call outs, and classroom maintenance needs reported to you.

Program Support

  • Ensure prompt and efficient routing of verbal and written messages, mail, and other deliveries to all Team Coordinators.
  • Assist with general office functions, filing and typing as necessary as well as typing reports, charts, letters etc. for classroom staff as needed.
  • Establish, develop, maintain and update all filing systems for best efficiency.
  • Maintain center’s information boards to ensure parents are fully informed.
  • Record and maintain fire drill reports.
  • Maintain central office files and ensure that all standard forms used by classroom and administrative staff are in sufficient supply and distributed when necessary.
  • Assists with the inventory of office and consumable items ordering supplies as needed with approval of the Finance/Enrollment Director.
  • Print pictures from digital classroom cameras for Center use.
  • Complete special projects with computer programs as needed.
  • Maintain an orderly copy room and supply closet keeping paper in good supply and all paper and supplies neatly arranged.
  • Assist Staff with copying and laminating needs.
  • Assist in closing the Center each night recording any late pick up children.
  • Type new menus and distribute them to the lobby and each Team Coordinator.

Administrative Support

  • Create and maintain Personnel file folders for potential new staff.
  • Keep track of and report child count and ratios to administration.
  • Maintain updated information in the child and staff medical files.
  • Assist in the administration of the Back-Up Care Program by taking phone calls, and filing, recording, copying and disbursing any necessary forms and information to the appropriate classrooms or administration.
  • Maintain and update parent and staff rosters in a timely manner distributing them to appropriate staff.
  • Maintain updated Family e-mail addresses and mobile phone numbers for general distribution of Center information, memos and text messages.
  • Maintain updated Family and Staff Emergency Sheets.
  • Create new and maintain staff mailboxes.
  • Disseminate information by e-mail to staff and families as requested by Administration.

GENERAL RESPONSIBILITIES:

  • Attend and participate in all scheduled full staff meetings, ECYC special events and training as necessary and related to the position.
  • Attend other workshops related to position as recommended by the supervisor.
  • Ensure the safety and the welfare of all children. Assist in the care of ill children when needed.
  • Act in accordance with ECYC philosophy in all interactions with children, parents, staff, visitors and Merck personnel.
  • Complete any other Center related jobs directed by supervisor.

Job Type: Part-time

Pay: $14.00 - $16.00 per hour

Schedule:

  • 4 hour shift
  • Monday to Friday
  • No weekends
