Position Description
The church secretary is a part-time position reporting directly to the Pastor and the Staff Parish Committee. The church secretary serves as administrative assistant to the Pastor and supports the church committees through administrative and bookkeeping duties. Working with the highest level of professionalism, the church secretary serves the congregation and pastor by intentionally promoting open lines of communication between the two and prioritizing confidentiality in church matters and activities.
Primary responsibilities include managing and ensuring smooth operation of the church office, answering calls and emails from the congregation and community with discretion to sensitive data, assisting the pastor with administrative tasks, maintaining efficient schedules for the Pastor and the church facilities. Proficiency in Microsoft programs and QuickBooks Online, as well as online platforms and social media accounts is required. Personal development that focuses on aligning with the church’s values and mission including opportunities to show Love for God, Love for Others, and identifying ways to Serve the World is essential.
Specific responsibilities are as follows:
- Provide administrative support to the Pastor and church leadership; see to the daily operations of the church office.
- Answer phone calls and emails from the community and congregation, providing requested information in a professional and personal manner.
- Coordinate facility repairs as directed by the trustees.
- Daily monitoring of facility HVAC and security systems. This includes troubleshooting and reporting maintenance issues and scheduling the systems for weekly church activities.
- Assist the Pastor and Church Leadership with promoting and publicizing church activities including monthly newsletter; responsible for maintaining online platforms and social media updates.
- Serve as membership secretary and follow the guidelines for membership secretary as stated in .
- Maintain the church calendar to include monitoring the use of facilities and assist the Pastor in resolving scheduling conflicts.
- Receive the payments and oversee all logistical arrangements for non-church related rentals.
- Communicate with custodians regarding their services needed for the facility.
- Inform the Pastor of recurring church activities such as congregation events, activities traditional to the church community, and regular community events where the Pastor’s presence is expected.
- Maintain a clean and neat office, order all office supplies as needed, and assist committees with purchases, adhering to budget.
- Forward requests regarding discretionary funds to the Pastor.
- Oversee the purchase of niches and assist Trustees with management of the columbarium and memorial plaques.
- Maintain our Conference responsibilities in a timely manner.
- Work with the contracted accountant to ensure timely and accurate banking, bill-paying and financial records.
- Record all contributions and send annual statements to members. With the help of the church financial secretary, resolve member questions about contributions.
- Assist the Treasurer in preparing financial reports and statements as needed.
- Perform other duties as assigned by the Pastor.
This position is part-time, with office hours Monday through Thursday (8:30am - 2:30pm) in the church office, and additional hours as needed based on special events and circumstances.
Benefits include two weeks of vacation per calendar year, five (5) days of sick leave, and 12 paid holidays.
Minimum starting salary of $18,300. Salary will be determined commensurate with experience.
