The role of the Administrative Assistant is to be responsible for coordinating data from builder portals, and submit new orders for entry into out system for processing.
Essential Functions:
- Receive, review and forward inbound orders from builder portals
- Coordinate quotes and orders to create orders and submit for entry
- Perform data entry using word processing, spreadsheet, and database systems
- Regularly review and update data records to ensure accuracy; remove unnecessary data and archive records
- Review discrepancies in data; advise supervisor of issues related to data and performs data verification routines in
- accordance with company procedures
- Coordinate with other departments to ensure convenient access to data/records and to implement standardized data
- entry/organization practices across company
- Perform routine maintenance tasks related to hardware/software or files technical assistance requests as necessary
- Assist Administrative Manager with any other tasks, projects or initiatives
- Accurately complete paperwork as required

- Other duties as assigned by manager
Requirements
Job Competencies:
- Ability to work well with others in a small team environment.
- Strong problem-solving, critical thinking and decision-making skills
- Strong service mentality
Qualifications:
- Knowledge of construction industry is a plus.
- Ability to read blue prints
- 2 years’ experience in an administrative role
- Strong computer skills
- Keen attention to detail
- Strong time management skills
- Ability to balance thoroughness with effective presentation techniques.
- Excel, QuickBooks, and ERP experience preferred.
- Knowledge of construction industry is a plus.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift 15 pounds at times.
Work Environment:
This is a full-time position. Office environment.
