Key Responsibilities:
- Schedule and coordinate executive meetings, board meetings, and department briefings.
- Manage and maintain the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare reports, presentations, and internal communications.
- Assist in guest relations by handling VIP requests and special arrangements
- Handle procurement and office management tasks for the executive office.
- Handle confidential and time-sensitive information with the utmost discretion.
- Coordinate special projects, events, and resort initiatives.
- Maintain accurate records, files, and documents.
- Ensure compliance with resort policies and confidentiality protocols.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Draft and edit communications, internal memos, and business documents.
- Handle special requests from guests or executives with efficiency and professionalism.
- Perform other related duties as assigned to support the overall success of the team and business.
Qualifications and Skills:
- Ability to work on location Monday through Friday 9am-5pm.
- Minimum of 3 years of experience as an Executive Assistant, preferably in a luxury hospitality or corporate setting.
- Exceptional verbal and written communication skills.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Outstanding organizational skills with the ability to multitask and prioritize effectively.
- Discretion, integrity, and professionalism in handling confidential information.
- Ability to work in a fast-paced environment and adapt to changing priorities.
Physical Requirements:
- Capability to lift and carry up to 40 pounds.
- Able to perform physical tasks, including bending, sitting, lifting, and standing for extended periods.
