We currently are looking for FSQA Documentation Specialist.
This position is responsible for the company’s HACCP Plans and serves as a back up for the SQF Practitioner. This position reports to Food Safety Quality Assurance Manager.
Responsibilities:
- Responsible for supporting Food Safety and Quality Assurance Systems and associated documentation for all phases of internally and externally developed products
- Review, develop and maintain finished product specifications and labels; maintain approved supplier facilities certification/audit information; ensure product and supplier compliance with specifications at all points through the distribution channels
- Provide and maintain product technical information; investigate and resolve product quality issues
- Evaluate, approve and maintain existing vendors, ingredients, and packaging for quality and safety compliance. Responsible for Supplier Approval Program (Ingredients and Packaging). Conducts monthly audits on document status and communicates to Purchasing department. Logs into Pro Act Food Safety Portal to download documents from approved suppliers. Conducts and consolidates evaluations for Packaging and Ingredient Suppliers.
- Participate in the development of new FDA and USDA products and reformulations of existing products.
- HACCP coordinator. Responsible for the HACCP Plans of the company. Conduct Hazard Analysis and Vulnerability Assessments for new ingredients and processes. Conducts annual HACCP reassessments and plan verification together with FSQA Manager and Coordinator. Conducts validation of HACCP.
- Assure that production techniques for new product comply with Food Safety System and regulations.
- Update Food Safety Programs as necessary (Allergen Management Programs, etc.) and guarantees communication of all changes with relevant teams.
- Write, maintain and update all product specifications.
- Responsible for generating Nutritional Labels in house.
- Create, review and approve finished product labels.
- Conduct label approval for FDA and USDA labels.
- Maintains registers up to date (Approved Suppliers, Approved Packaging Suppliers, Approved Service Providers, Raw Material (Including also Traceability sheets), Finished Product (Including Allergen Matrix and new SOPs in binders). This include understanding where products and packaging will be stored and used (according to Allergen Management Program).
- Works in concert with other departments within the company in support of company goals and keep good communication.
- Keeps current with all laws and regulations affecting products and ensures that products are in compliance.
- Go to person for USDA inspectors when an issue with labels, SOPs, ingredients, allergen storage, arises.
- Can participate in 3rd party audits and annual SQF audit.
- Take appropriate action to ensure the integrity of the SQF System. Communicate to relevant personnel all information essential to ensure the effective implementation and maintenance of the SQF System.
- Conducts audits, verification and validation activities related to SOPs, Labels, Allergen Storage, HACCP, Approved Supplier Program. Review of weight verification records.
- Oversee the development, implementation, review and maintenance of the SQF System, including food safety fundamentals outlines in 2.4.2, and the food safety plan outlined in 2.4.3.
- Take appropriate action to ensure the integrity of the HACCP Plans and SQF System.
- Identify improvements and implement corrective actions to non-conformances.
- Adherence to all customer Quality policies and procedures as stated in the customer’s manuals.

- Provide independent oversight of processes, verifying compliance to company standards and policies, and effectively communicating when there are deviations from standards or processes.
- Coordinate and conduct training sessions in English and Spanish for the facility and maintain training records: New Employee, annual refresher training, new/ revised program/ procedure.
Requirements:
- Preferred - Minimum 2 years of regulatory experience for compliance with USDA and FDA Labeling Regulations
- Preferred - Proficient in Nutritional Programs to create Nutritional Fact Panel, Ingredient Statements and Principal Display Panel Labels (Nutritional Pro, or others)
- Knowledge of understanding Food Safety, FDA and USDA guidelines.
- HACCP and PCQI Certified.
- Manage multiple projects at once, at various different stages and various complexities.

- Demonstrate experience with internal and external quality audits.
