Job Summary:
The Contract Administrator will provide administrative support to the Construction Services and related department for public works and similar land development projects from advertising stage, throughout construction, acceptance and warranty stages.
Typical Duties and Responsibilities:
- Provide professional administrative support to internal project management team.
- Provide professional administrative correspondence with external contractors, consultants, advertisement agencies, legal team, insurance agencies, bonding companies, etc.
- Prepare general correspondence such as memos, letters, reports, meeting minutes, agendas, contracts, pay applications, change orders, addendums, permits, bid packages and insurance certificates.
- Organize, schedule, and facilitate project meetings, record and distribute meeting minutes.
- Upload drawings and specifications to public bid websites.
- Distribute and tracks construction plans and project permits.
- Administer project tracking logs.
- Process and route invoices to the correct person for coding/payment.
- Manage visitors and communications to the project management team.
- Conduct bid openings and process bid packages.
- Other duties as assigned.
Knowledge, skills, and abilities:
- Willingness to learn.
- Excellent oral, written communication, and interpersonal skills.
- Great organizational skills.
- Ability to prioritize projects and manage multiple projects at a time.
- Ability to read construction drawings is a plus.
Education, certification, and experience:
- Computer proficiency required (Zoom, MS Word, Excel, Outlook, Teams, etc.)
- Experience with AIA construction documents, contracts, change orders, etc.
- Prior experience in subdivision / public works construction, with a general contractor, administrative support with architecture firms, or other administrative support in the construction industry is strongly preferred.
Physical Requirements:
- This is largely a sedentary role. While performing the duties of this job, the employee is regularly required to communicate professionally, both written and verbal, with all levels of management and developers.
- The employee is occasionally required to move about the office to utilize office productivity machinery such as photocopier, computer, fax machine, etc.
- May require the ability to position his or herself to lift files, open filing cabinets and bend or stand on a stool as necessary.
- The employee may be required to lift and/or move up to 10 pounds.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
