(This is a part-time job ) We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. What does the Administrative Assistant – Adult Day Care do?
In this entry-level role, you would be helping to be the “face” of our assisted living/memory care community. You would be providing general business office services (filing, filling out forms, assisting line staff and managers), greeting families, residents, and other visitors, as well as offering direction to questions and concerns. If you want to work in a home-like environment where you get to know those you serve on a daily basis, this administrative role is for you and quite different compared to other Administrative Assistant roles.
In this job, every day you will…
1. Greets Clients, visitors, and staff courteously, and in a manner that respects dignity, confidentiality standards and promotes individual rights. Demonstrates the mission and philosophy of the company.
2. Billing for Clients through Mesa Portal and the VA Portal
3. Act as a Liaison between the case worker and the Client.
4. Updating & Keeping Clients and Employee staff in Compliance according to the policy
5. Making sure the facility and buses are in Compliance with the policy
6. Adding hours of Employees hours and sending to payroll
7. Responsible for the orientation of new hires to include issue and collection of human resources paperwork, reviewing time clock guidelines general policies and procedures of the company and the community.
8. Answers telephone calls within three rings and directs callers to appropriate party, minimizing waiting time.
9. Maintains personnel files, and keeping all personnel matters in strict confidence.
10. Maintains client files, keeping all information strictly confidential and maintained in a safe and secure manner.
11. Other assigned duties
Education & Experience you need to qualify:
- Must be Computer Savy
- Must be structured and Organized
- Must have Basic Mathematic skills
- Experience with a personal computer and the Microsoft suite of products.
- Able to communicate effectively, in English, with personnel at all levels of the organization, with residents and their friends and family, and with members of the community. Excellent written and oral communication skills required.
Experience
- Proven experience in an administrative role or similar position is preferred.
- Strong computer literacy with proficiency in Google Suite and other office software.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Prior experience in customer service or front desk operations is a plus.
- Familiarity with office management practices and procedures is desirable.
- Ability to communicate effectively both verbally and in writing.
