ORGANIZATIONAL OVERVIEW Educare DC serves over 378 children from birth to five years – and their families – through our state-of-the-art center and through community partnerships. Building on the program foundations of Early Head Start and Head Start and accredited by NAEYC, Educare DC promotes school readiness by providing high-quality, comprehensive early learning programming for children who are historically underserved due to systemic racism, eliminating the opportunity gap often experienced by low-income communities. Educare DC is part of the 25-school Educare Learning Network that serves as a platform for broader change, inspiring high-quality programs in communities, improving public policies nationally and within each state, and demonstrating a comprehensive, research-based approach to the first five years of life and learning. Educare DC draws on a blend of private and public dollars, including federal childcare funding, Early Head Start, Pre-K, and other state and federal funding streams. POSITION OVERVIEW The Enrollment Coordinator is responsible for partnering with the Family Engagement team to ensure Head Start policies regarding Eligibility, Recruitment, Selection, Enrollment, and Attendance (ERSEA) are properly implemented and followed at all Educare programs. The Enrollment Coordinator is also responsible for the management of accurate inputting, analysis, and reporting of data related to enrollment in all Program. The Enrollment Coordinator will input child and family data into Child Plus and provide technical assistance to childcare partner (CCP) staff to ensure accurate data collection and management. They will also analyze data from Child Plus to monitor the program’s adherence to Head Start Program Performance Standards and provide reports to the ERSEA Manager. RESPONSIBILITIES Data Management • Utilizes Child Plus, an electronic data management system, to enter child and family data from the enrollment application • Reviews and analyzes, all data entry to ensure all data is accurate and current • Maintains proficiency on ChildPlus and software updates • Collaborates with ERSEA Manager to formulate a system of regular data feedback and utilization for continuous program improvement and individualized planning for children and families Analysis and Reporting • Generates enrollment, attendance, subsidy status reports and other key indicators • Prepares and distributes timely reports and tracking regarding ERSEA updates • Assists with other data and reporting needs, including Data Dialogue meetings ERSEA • Reviews confidential documents and Federal Poverty Guidelines to determine family eligibility • Collaborates with the ERSEA Manager with planning, development and implementation of ERSEA content areas • Assist in the evaluation and design of systems to process enrollment applications, including determination of eligibility and selection criteria • Provides guidance and expertise to ensure efficient data collection Child Care Subsidy • Support parents enrolling in child care subsidy for Educare DC program • Ensure applications for enrollment are complete and accurate and determines eligibility of families • Monitors child care subsidy re-determination deadlines • Generates correspondence to remind parents of their child care subsidy status Other • Always promotes consistent exchange of information by communicating in a professional manner through verbal/written means while maintaining confidentiality • Performs other duties as assigned within the scope of the position EXPERIENCE AND ABILITIES • 3-5 years of relevant experience • Experience in an early childhood or school environment preferred; Early Head Start/Head Start program experience is a plus • Experience utilizing ChildPlus software preferred • Must have excellent customer service skills and ability to work with individuals from various education, socioeconomic, and cultural backgrounds • Proficient with computer applications – thorough understanding of Microsoft Outlook (Microsoft Office required), word processing (Microsoft Word), spreadsheets (Excel) and email systems. Good command of Internet usage. Ability to learn and master other computer technology /software programs as needed • Ability to learn child care subsidy eligibility and Head Start policies and procedures, especially related to ERSEA and reporting requirements • Demonstrated organizational and administrative skills, with strong attention to detail • Ability to exercise discretion in handling confidential information and materials • Ability to develop and maintain files and filing systems, in electronic and hard copy form • Ability to document, monitor and track information, and develop reports • Ability to develop forms and letters necessary to complete tasks • Ability to fluently speak, read, write and understand English • A commitment to embrace our core values of building trust, accountability, communication, and continuous improvement • Ability to communicate in a manner that consistently demonstrates respect, concern, and responsiveness. Ability to communicate with multiple stakeholders, including families, CCPs and EHS-CCP staff • Ability to work independently and collaboratively in a team environment • Ability to prioritize multiple tasks and exercise independent judgment in repeated and routine responsibilities and accomplish assignments in a timely manner • Ability to perform effectively under pressure and adapt to change • Provide administrative support to the department while maintain a high level of confidentiality • Execute special projects for the department EDUCATION REQUIREMENTS High School or 3 years of comparable experience. ADDITIONAL JOB REQUIREMENTS • If not already Child Care Subsidy Eligibility certified, then certification process must completed within 1 year of hire • Able to work shifts between 7:00 am and 6:00 pm • Clearance of background checks as required by local, state and federal regulations. • Physical examination and diagnostic tests as required by local, state and federal regulations. • A bi-annual physical exam, drug screen, COVID-19 vaccination and TB test are required as a condition of continual employment. ESSENTIAL JOB FUNCTIONS • Finger dexterity sufficient for typing, filing, handling records, and other office equipment • Ability to talk, hear, sit, stand, walk; use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms; and stoop, kneel, crouch, or crawl • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus • Ability to clearly hear and understand telephone conversations • Must be able to lift up to 40 lbs. • Job requires viewing a computer screen approximately 90% of the time
