What are the responsibilities and job description for the Finance Coordinator position at Education and leadership foundation?
Our Finance Coordinator is responsible for supporting financial operations, supporting financial planning and analysis, and ensuring that financial transactions and payroll are processed accurately and efficiently. They oversee the payroll under the leadership of the director of finance.
Performance Area: Asset Tracking & Reconciliation
- Monitor and maintain accurate records of inventory transactions (purchases, sales, returns, adjustments).
- Reconcile physical inventory counts with financial records and resolve discrepancies.
- Ensure inventory valuation is accurate and in accordance with accounting standards (e.g., FIFO, LIFO, weighted average).
Performance Area: Payroll Processing
- Administer end-to-end payroll processing for all employees in accordance with company policies and legal regulations.
- Process payroll data for salaried, hourly, and commission-based employees, ensuring accuracy in wages, benefits, bonuses, and deductions.
- Ensuring accurate data entry for employee hours, benefits, and deductions.
- Coordinate with HR and Finance teams to ensure that payroll-related data (vacation, sick leave, overtime, etc.) is accurate and up-to-date.
- Review and resolve any payroll discrepancies, answer payroll inquiries, and maintain payroll records.
- Ensure timely and accurate submission of payroll taxes and other statutory filings, ensuring compliance with federal, state, and local regulations.
- Assist in year-end payroll processing, including W-2 distribution and reporting.
- Manage timesheet collection and auditing processes to ensure accuracy and completeness before payroll submission.
- Calculate wages, overtime, deductions, adjustments, and bonuses in compliance with company policies and labor laws.
- Generate and distribute detailed pay statements while addressing employee inquiries with professionalism.
- Help resolve payroll discrepancies or issues.
Performance Area: Budgeting & Financial Planning
- Assist in the preparation and management of budgets.
- Monitor expenses and ensure adherence to the allocated budget.
- Assisted in forecasting future financial trends and requirements.
Performance Area: Accounting & Financial Transactions
- Process payroll-related invoices, payments, credits, and receipts.
- Reconcile financial discrepancies and accounts.
- Maintain accurate financial records and ledgers.
- Ensures compliance with allocations and expenses and properly reflects instructed allocations across payroll, utilities, and purchases.
Performance Area: Financial Reporting & Analysis
- Analyze financial data to identify trends, variances, and potential cost-saving opportunities.
- Prepare and update financial reports related to inventory, including balance sheets, profit and loss statements, and inventory turnover ratios.
- Support month-end and year-end financial closings by providing accurate financial data.
- Assist with audits by providing necessary documentation related to inventory transactions.
Performance Area: Internal Controls & Compliance
- Over see all purchase orders and ensure compliance with internal controls for purchases and purchase limist.
- Ensure compliance with financial regulations and company policies.
- Assist with audits and internal controls to prevent fraud and errors.
- Maintain confidentiality of financial information.
Performance Area: Other Responsibilities
- Assist with payroll-related projects or initiatives, including system updates
- Collaborate with cross-functional teams (HR, Finance, IT) to identify and implement process improvements in payroll systems and workflows.
- Perform additional tasks or projects as management assigns to support the organization's needs.
- Be adaptable to evolving responsibilities in a dynamic work environment.
- Participate in team meetings, training, and development opportunities as required.
- Assist in other finance department tasks during peak periods or when coverage is required.
Performance Area: General Administrative Support
- Coordinate with other departments to resolve financial issues.
- Handle general finance-related inquiries.
- Maintain financial documentation for audit and regulatory purposes.
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
Expected hours: 35 – 40 per week
