The Junior Office Manager works under the direct supervision of the Student Recruitment Manager performs a variety of complex and diverse administrative duties focused on student recruitment and enrollment. In conjunction with the Student Recruitment Manager, the Junior Office Manager identifies, plans, implements, and monitors student recruitment and enrollment processes, activities, data, applications, outreach. They have an aptitude for working in a highly collaborative environment. They are responsive to changing requirements and priorities. They also have the ability to work effectively under pressure, demonstrating resilience and perseverance.

Position Summary

 

The Junior Office Manager works under the direct supervision of the Site Operations Manager and School Administrators and performs a variety of complex and diverse administrative duties. In conjunction with the Site Operations Manager, the Junior Office Manager identifies, plans, implements, and monitors office administrative procedures and policies including but not limited to employee time and student attendance records, productivity records, and processing of work such as document management, filing, and storage procedures. They have an aptitude for working in a highly collaborative environment. They are responsive to changing requirements and priorities. They also have the ability to work effectively under pressure, demonstrating resilience and perseverance.

 

 

Responsibilities:

 

  • Manages all student and staff attendance including inputting ensuring accurate data entry into school student information and Staff Payroll systems.
  • Manages all family communication around attendance reconciliation.
  • Manages Attendance Team (including Student Attendance Review Team structure).
  • Analyzes and Manages Chronic Absence Data
  • Facilitates all SART meetings with chronically absent students/families
  • Manages Chronic Absence Home Visit Team.
  • Works with Site Operations Manager to coordinate and implement office technology and communication systems, including providing ongoing training to office staff on office technology and communication systems, and office policies and procedures.
  • Manages student information systems.
  • Works with Site Operations Manager to analyze, coordinate, and organize office operations and procedures such as typing, bookkeeping, preparation of timesheets, flow of correspondence, filing, requisition of supplies, and other clerical services.
  • Works with Site Operations Manager to evaluate office production, revises procedures, and/or devises new forms to improve efficiency of workflow.
  • Actively participate in key student events.
  • Maintains regular communication with Site Operation Manager and Home Office supervisor.
  • Attends mandatory professional development and relevant trainings, as assigned.
  • Completes specific assigned tasks for Admin or Site Operations Manager, as needed.

 

Required Qualifications:

  • Associate’s degree (A.A.) or equivalent from two-year college or technical school; and four years related experience and/or training; OR equivalent combination of education and experience, in a large organization or school.
  • Departmental budget management, database management, spreadsheet analysis, and system applications experience. 
  • Meticulous attention to detail.
  • Excellent organizational, project management and time management skills.
  • Outstanding problem solving skills.
  • Effective oral and written communication skills with an ability to communicate with various constituencies and to work comfortably with a variety of staff at all levels within the organization.
  • Proactive, independent thinker, and goal oriented.
  • Excellent team player with a high degree of willingness to be hands-on and do whatever it takes to support the success of Education for Change Public Schools.

 

Skills Required

  • Knowledge of modern office methods, practices, and procedures; principles of office management.
  • Knowledge of collection, organization, and maintenance of information, including statistical data and electronic mail.
  • Knowledge of personal and/or network computer skills.  
  • Ability to write reports, business correspondence, and procedure manuals. 
  • Ability to effectively present information and respond to questions from groups of managers, parents, teachers students, and the general public.  
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  
  • Ability to type 50 words per minute and proficient in use of computer software (word processing, Excel, data management, PowerPoint).
  • Ability to compose correspondence and reports using good English and correct spelling and punctuation; 
  • Ability to formulate, interpret and explain rules, policies and procedures.
  • Ability to work with minimal supervision and deal courteously, tactfully and discreetly with a wide variety of personalities and challenges.
  • Ability to exercise sound and independent judgment; 
  • Ability to demonstrate team building skills; 
  • Ability to establish and maintain effective working relationships; assign and direct the work of others. 
  • Willingness to participate in continuous educational and professional development. 
  • Ability to communicate effectively orally and in written form with students, parents and staff. 
  • Spanish speaking candidate is highly desirable.
  • Equipment routinely used in the environment is computer, printer photocopier, fax machine, and scanner.
  • The noise level in the work environment is usually moderate. 
  • Professional dress required.
  • Must possess a growth mindset and be able to use feedback to refine practice.

EFC is Oakland’s largest charter operator, serving over 3,000 students in the Fruitvale and Elmhurst neighborhoods of East Oakland. Five of seven of our schools were formerly OUSD schools that converted to EFC to leverage the flexibility and agility provided by charter law for greater outcomes for our students.
