Overview
The Partnership Events Senior Coordinator is crucial to the organization and fulfillment of the Partnership Events goals.
This role maintains smooth operations, content, and internal relationships. The role requires discretion, judgment, and prioritization.
Keeping deadlines, communications, and event details visible and assesible is essential.
In addition, this role will provide administrative assistance to the Director of Partnership Events and VP of Partnerships & Live Events.
This position will coordinate pre-production and on-site production details of our sponsored and branded events. Communication with external vendors along with discretion and attention to detail is of the utmost importance.
K-LOVE and Air1 values will be reflected in this role as well as concise communication between executives, artist labels, and ministry partners.
This is an onsite position located in Franklin, Tennessee.
Here's some of what you will be doing:
- Manage day-to-day traffic - caring for needs/requests as they arise to maximize effectiveness with Partnership Team as assigned by the Partnership Manager or Director of Partnership Events.
- Provide support, prioritization, and organization for all communication and partnership endeavors such as event ticketing, invoice payment and reconciliation, scheduling, event research, audience communication, and all Partnerships & Live Events support.
- Provide administrative and operational support for the team (VP of Partnerships & Live Events, Director of Partnership Events, and Executive Director of Media Underwriting & Outreach) including:
- Scheduling and time effectiveness; travel arrangement, P-Card management, monthly budget reporting/tracking, project research and industry awareness; assist and create presentations; regular data entry and other duties as assigned.
- Be aware, adaptable and utilize a variety of technical applications to assist the Partnership Team in their efforts to be innovative and cutting edge with the latest and greatest media and technology.
- Cover strategic live events and provide event support for all K-LOVE Live Event brand initiatives, as needed. Support branded merchandise, event product management and branding, coordination of team member logistics such as hotel and travel, and provide support for K-LOVE promotions activities.
- Act as interdepartment liaison for partnership needs re: branding for live events iniatives, merchandize delivery logistics, and brand set up needs for each event (30% -50% of this will be on the ground at the event).
- Manage and coordinate partnership relationship communication and interaction as it pertains to logistics of live events such as securing venues, lodging, parking, ticketing, special event branding/décor, and timing of all deliveries ahead of an event and at the venue.
- Facilitate execution of special VIP needs that arise during events: Assisting the Partnership Manager to fulfill requests upon approval of the Director of Partnership Events and or VP of Partnerships & Live Events. This includes working with the partners and helping make the best decision at the time to meet the need for K-LOVE, the partner, and the audience member simultaneously.
- Demonstrate efficient follow-up and servicing for the needs of ongoing relationships, providing timely response to questions, concerns and requests for information.
- Responsible for handling complaints and resolving grievances from our audience at our signature events. Listen carefully to concerns and work quickly to care for our audience to find a solution.
- Streamline and manage work and processes through the creation of useful and efficient systems.
- Manage and communicate deadlines and fulfillment needs to Partnership Manager, Director of Partnership Events, Live Events Manager, and VP of Partnerships & Live Events. Ensure projects deadlines are met and with excellence.
- Provide consultation to management by offering specialized knowledge of the Partnerships and guidance in the event planning. Assist in strategizing, organizing, and executing events.
- Prepare, edit and disseminate departmental communications at the executive and director leadership levels.
- Consistently provide excellent service both internally and externally, positively upholding our “brand” and representing the Partnership Team; be proactive and anticipate needs by keeping the “right stuff” in front of the Partnerships Manger at the “right time” such as meeting preparations, communications, etc.; use discretion and judgment to appropriately prioritize what the Partnerships Manager should be aware of vs. what needs immediate response and action.
- Organize and keep records of invoices, contracts, and other resources/documents that are necessary for the Partnerships & Live Events department to stay up to date and running smoothly.
- Execute Projects efficiently and with excellence. Projects could include but are not limited to Industry Research and Radio Ratings projects, Hotel/Venue comparison reports, Ticketing for all partnered events and tours, support for non-partnered, sponsored, and venue events.
- Responsible for invoice reconciliation, payment process for Clients/Artists/Partners.
- Maintain a clean, running spreadsheet of all accounting that comes through Media. Be ready to offer detailed support to Finance team if any questions arise.
- Assist the Executive Director of Media Underwriting & Outreach with projects if necessary. Duties could include but are not limited to client intake, client reconciliation, client payment, and web postings.
- Streamline work and processes through the creation of useful and efficient systems.

Here's some experience we are seeking:
- Bachelor’s Degree in communications; broadcasting, media or equivalent experience.
- Minimum 4 years of experience working in radio, broadcasting, media and/or executive level support.
- Strong computer skills; advanced knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook); Mac and PC.
- Technology savvy. Familiar with a variety of media outlets and technology, including social media.
- Strong organizational and administrative skills.
- Excellent interpersonal skills with the ability to develop sincere business/ministry relationships.
- Demonstrated ability to work independently; establishing and meeting performance/ministry goals.
- Exhibits versatility and flexibility. Regularly adapts to change while maintaining a positive attitude and high productivity.
- Discretion and attention to detail along with excellent communication with vendors is of the utomost importance.
- Demonstrated ability to represent ministry and executive staff professionally and maintain confidentiality.
