SUMMARY : The Purchasing Agent is responsible for purchasing goods for the company in an efficient and economical manner following established policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES : The employee must be able to successfully perform the essential functions of the position with or without reasonable accommodation.

  • Forecast and replenish inventory based on historical and seasonal demand.
  • Enter and process purchase orders for domestic and foreign suppliers.
  • Monitor inventory levels by creating appropriate reorder points and preventing overstock situations.
  • Monitor open purchase order report and follow up on past due purchase orders with vendors accordingly to expedite delivery of goods.
  • Communicate with vendors on back-order issues and identify alternate options, as needed, to meet customer deadlines.
  • Maintain purchasing records such as items purchased, costs, delivery, product quality, etc.
  • Discuss defective or unacceptable goods with quality control personnel, vendors, and others to determine source of trouble and take correction action.
  • Review daily inventory reports to maintain departmental objectives.
  • Review and research invoice discrepancies.
  • Approve invoices for payment.
  • Research and set up item numbers accordingly in the system. Set selling price on all stock, non-stock, and customized item numbers.
  • Negotiate inventory returns, allowances, and vendor rebates.
  • Meets and / or confers with vendors to negotiate improved pricing, invoice terms, product quality, and delivery of goods.
  • Select products for purchase by testing, observing, or examining items.
  • Work closely with sales reps to identify customer needs, special artwork, etc.
  • Work closely and communicate with the other departments, as needed, to ensure customer deadlines are met.
  • Work with the compliance team to ensure our items meet the current US regulation and compliance requirements.
  • Set up wire payment information for import suppliers.
  • Monitor and act on problems related to import shipments.
  • Assist with the approval of invoices for import freight and customs charges.
  • Other duties as assigned

EDUCATION AND EXPERIENCE

  • HS Diploma or Equivalent, some college preferred.
  • Experience in a related field preferred.
  • Knowledgeable in MS Office, specifically Outlook and Excel. Microsoft Access a plus.
  • OTHER SKILLS AND ABILITIES

  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Must be able to prioritize, have problem solving skills and meet deadlines.
  • Must be adept at building strategic working relationships
  • Must be well organized, a self-starter, and possess excellent written and verbal communication skills.
  • Works well under pressure and can work independently.

    Salary : $45,000 - $52,000
