Description:
The Ohio Coalition for the Education of Children with Disabilities (OCECD) is looking for a fulltime Administrative Assistant for our Marion, Ohio Executive Office location at 125 Executive Drive, Suite 200, Marion, OH 43302. OCECD is the Parent Training and Information Center for Ohio (PTI). We are a statewide nonprofit organization that serves families of infants, toddlers, children, and youth with disabilities in Ohio; educators; and agencies who provide services to them. We work to ensure a meaningful and relevant education for all children and youth with disabilities in Ohio.
We are seeking a highly organized, detail-oriented, skilled administrative assistant to join our team. The ideal candidate will have excellent organizational and time-management skills, be proficient in Microsoft Office, including familiarity with Access, PowerPoint, and Google Drive. Experience with formatting documents in Word, Adobe Acrobat, and PPT. In this role, you will be responsible for providing administrative support to our Executive Director and perform daily office duties our Marion Executive office. Serves in a supporting role to the Assistant Director. This position is a hybrid position that requires working in the Marion, OH office a few days every week and from home office the remainder of the week.
Minimum Qualifications:
High school diploma
Excellent organizational and time-management skills
Proficient in Microsoft Office, including familiarity with Access, PowerPoint, and Google Drive.
Experience with formatting documents in Word, Adobe Acrobat, and PPT.
Responsibilities and Essential Functions:
- Perform administrative duties such as answering phones, filing, typing, copying, scanning, responding to emails, processing mail, etc.
- Handle sensitive information in a confidential manner
- Strong organizational skills and the ability to multi-task
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Provide support to other staff as needed
- Professional in interactions with those both internal and external to our organization
- Must be bondable; insurable against losses
- Prepare Time Sheet, leave report, and Travel Reimbursement Form
- Process all staff leave requests in the administrative leave system
- Open mail, date stamp and sort; distribute all incoming mail to staff
- Record checks received in the record book
- Manage database and input information, data, and records (Access)
- Office record keeping
- Prepare for meetings
- Schedule and participate in virtual meetings
- Track and order office supplies
- Maintain a clean and organized office environment
- Assist with the preparation of reports and other documents
- Manage and maintain files, records, and correspondence for board meetings
- Track Time Sheets, non-contract time, and contact forms received in Excel Reports
- Enter new contacts into the eSchoolView master database
- Maintain Marion Partner office phone system
- Format documents and outreach material in Word, Adobe Acrobat, and PPT
- Update Staff Handbook, State Call/Meeting/Training Map, Fact Sheet, Contact Form, Home Address List, Letterhead, Outreach Brochures, and Interoffice Directory. Distribute all to staff and upload to Google Drive
- File Joint Legislative Ethics Committee (JLEC) report 3 times per year
- Prepare for opening of new regional offices
- Organize the closing of regional offices
