Position Summary:
The Event Operations Manager at Prestige Motorsports is responsible for planning, organizing, and executing high-quality events, from private and member gatherings to large-scale community and motorsport events. This role involves managing all aspects of event logistics, budgeting, and post-event analysis, as well as collaborating with local event planners and vendors. The Event Operations Manager will also oversee the event calendar and coordinate marketing efforts to ensure each event meets the standards and goals of Prestige Motorsports.
Key Responsibilities:
1. Event Planning and Execution:
- Develop, coordinate, and execute private, member, and public events, from conception through post-event activities.
- Create detailed event plans, timelines, and schedules to ensure seamless operations.
- Work closely with local event planners and vendors to source resources
and maintain professional relationships.
2. Budget and Financial Management:
- Prepare and manage budgets for each event, including forecasting and presenting the Profit & Loss (P&L) projections.
- Conduct post-event financial analysis and provide P&L statements for review.
- Negotiate contracts with vendors, ensuring cost-effective and high-quality services.
3. Event Calendar and Marketing:
- Maintain and update the event calendar, ensuring proper coordination across departments.
- Collaborate with the marketing team to promote events, drive attendance, and enhance community and member engagement.
- Develop creative marketing ideas and campaigns specific to each event, using social media, email marketing, and other channels.
4. On-Site Event Management:
- Oversee event setup, execution, and teardown, ensuring all logistics are handled efficiently.
- Act as the primary point of contact during events, providing leadership to staff and addressing any issues that arise.
- Ensure compliance with all safety, legal, and regulatory requirements for each event.
5. Post-Event Review:
- Conduct a comprehensive post-event evaluation, including feedback from attendees and stakeholders.
- Identify areas for improvement and implement strategies to enhance future events.
- Compile and present event reports, summarizing successes, challenges, and financial outcomes.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred.
- 2 years of experience in event management, preferably within a high-energy or luxury environment.
- Strong understanding of budget management and experience with P&L reporting.
- Excellent organizational, communication, and interpersonal skills.
- Ability to work well under pressure, handle multiple events concurrently, and adapt to last-minute changes.
Preferred Skills:
- Knowledge of local event venues, vendors, and regulations in San Antonio, TX.
- Proficiency with event management software and marketing tools.
- A passion for motorsports and experience in automotive events is a plus.
