What are the responsibilities and job description for the Pre-construction / Estimating Coordinator (San Diego) position at Edwards Construction Group?
We are looking for a Preconstruction/Estimating Coordinator who will work under the strategic guidance of the Lead Estimator. They will organize and assist with preconstruction procedures and ensure they are completed in a timely and efficient manner. They should be able to comprehend contract documents, understand the necessary scope of work, have the ability to exercise budgets, and identify accurate trade pricing. The ideal candidate will have an analytical mind, great organizational skills, and can work in a fast-paced environment.
Responsibilities
Pre-Bid Responsibilities
- Attend pre-bid jobwalks. Must show up before the jobwalk time. Owners do not allow tardiness. No exceptions.
- Obtain bid documents from owners’ bidding portal/website, file and sort projects in their respective folders.
- Send bid bond requests and insurance requests
- Create projects in procore
- Upload project documents (Plans, Specs, Addenda, Exhibits, etc.)
- Create bid packages in Procore and invite subcontractors to bid on projects
- Save addenda and send correspondence to subcontractors throughout the bidding phase
- Call/Email/Text subcontractors to confirm their intent to bid
- Extract bid forms, fill out, and request signatures/notaries from appropriate parties.
- Track Prime Contractor prequalification requirements. Prepare/submit prequalification applications as needed.
- Track MEP subcontractor prequalification requirements
- Track DVBE or other compliance requirements
- Enter subcontractor information (License, DIR, address, etc) into subcontractor info database
- Submit pre-bid RFIs to owner
- Prepare bid envelope and bid basket for Bid Day
Bid-Day Responsibilities
- Support the estimator as needed
- File subcontractor quotes in their respective folders for Estimator to review
- Fill out the designated subcontractors list
- Compile any additional backup as required per the bid documents.
- Drive to bid drop location (if in-person bid drop). Drop-off the bid package before the bid deadline. (This can be a higher-stress time because subcontractors may wait until the last minute to submit a bid) NO EXCEPTIONS TO LATE BID SUBMISSIONS
Post-Bid Responsibilities
- Assist in smooth transition between estimating and operations teams
- Order Insurance Certs and P&P Bonds
- Prepare owner contracts. Request signatures/notaries from appropriate parties
- File listed subs’ quotes in respective folders
- Gather bid documents and backup for Estimator/Operations hand-off meeting
Proposal Responsibilities
- The following proposal-related items are in addition to the pre-bid responsibilities above
- Work in conjunction with the marketing team, estimator, project managers, and superintendents to create a proposal for negotiated or Lease-Leaseback projects
- Create checklists and assist in the organization of data to meet proposal requirements
Qualifications
- 1 year previous construction administration and/or field experience preferred.
- Advanced math skills.
- Effective written and oral communication.
- Proficient user in Procore
- Proficient in Microsoft Office (Outlook, Word, Excel) and/or Google Suite (Gmail, Docs, Sheets).
- Ability to read blueprint construction drawings and specifications.
- Associate’s or Bachelor's degree is preferred.
