Job Summary
The Front Desk Coordinator plays a vital role in creating a welcoming and polished environment for our patients while ensuring that all front desk operations run smoothly and efficiently. This position includes patient-facing communication, appointment scheduling, sales, lead management, and support for the clinical team. The ideal candidate is a strong communicator with natural sales instincts, highly organized, tech-savvy, and committed to delivering a consistently exceptional experience.
Key Responsibilities
Patient Reception & Communication
- Greet patients warmly and professionally in person and over the phone
- Confidently explain the benefits of our direct pay model and how our approach differs from traditional insurance-based practices
- Build rapport with prospective patients and guide them through their decision-making process with clarity and empathy
- Answer and route incoming calls, take messages, and respond to inquiries
- Assist with patient check-in and check-out
- Maintain a clean, elegant, and organized front desk and waiting area
Appointment Scheduling & Coordination
- Schedule, confirm, and reschedule appointments for medical and cosmetic services
- Manage physician calendars and coordinate efficient appointment flow
- Track incoming leads and schedule consultations
- Verify inventory for cosmetic procedures and place orders proactively to ensure all appointments are fully stocked and prepared
- Anticipate patient needs based on visit type to support a seamless experience
Administrative Support
- Ensure accurate entry of patient data in the EMR system
- Assist with processing patient intake forms and verifying demographic information
- Handle incoming mail and email correspondence
- Promote skincare products and services as appropriate during patient interactions
Technology & Tools
- Utilize EMR and scheduling software to document visits and schedule appointments
- Monitor the CRM system for incoming leads and follow up in a timely, professional manner
- Prepare patient charts for the following day and collaborate with the clinical team to anticipate care needs
Requirements
- 1–2 years of front desk or customer service experience, preferably in a medical office
- Strong verbal and written communication skills; persuasive and personable in patient interactions
- Proven ability to sell or promote services in a patient-centered way
- Proficient with basic computer programs, EMR systems, and CRM tools (preferred)
- Highly organized and detail-oriented with the ability to multitask in a fast-paced environment
- Consistently polished, professional appearance—makeup and nails done, wardrobe appropriate for a high-end clinical setting
- High school diploma or equivalent required; associate degree or medical office training preferred
Compensation & Benefits
- $36,000–$46,000 depending on experience
- Free in-house healthcare with internal medicine and medical dermatology while employed (excluding lab work, diagnostic testing costs, and cosmetic procedures)
