We are looking to add a new role to our support team as a Customer Support Specialist to help us process our orders accurately and efficiently while keeping customers informed at all stages.
Job Summary: The Customer Support Specialist will be responsible for managing order entry, follow-up and expediting of orders, general data entry and clerical tasks, and providing excellent customer service via, phone, e-mail and chat. This role is integral to the EFP team in providing a great customer experience.
Key Responsibilities:
· Order Entry: Accurately enter customer orders into Epicor Prophet 21 (P21), ensuring all details are correct and complete.
· Order Tracking: Monitor and track orders from entry to delivery, providing updates to customers and starting the expediting process with suppliers as needed for delayed orders.
· Data Entry: Maintain and update customer and order information in P21, ensuring accuracy and timely data.
· Customer Service: Respond to customer inquiries via phone, email, and chat, providing timely and professional assistance. This role will be the primary phone answering station directing calls to accounting, management or Inside Sales if needed.
· Collaboration: Work closely with the sales, accounting and shipping teams to ensure orders are processed and delivered efficiently. This role is the primary back up for the shipping/receiving department.
· Reporting: Generate and forward daily and weekly reports to sales and accounting teams through P21 and White Cup CRM.
Qualifications:
· High school diploma or equivalent; additional education or certifications in business administration or related fields is a plus.
· Proven experience in order entry, data entry, and customer service, preferably in an industrial or distribution environment.
· Strong computer skills, including proficiency in Microsoft Office Suite, preference to applicants with previous Epicor Prophet 21 (P21) experience.
· Excellent communication and interpersonal skills.
· Detail-oriented with strong organizational abilities.
· Ability to work independently and as part of a team.
