Eitas currently has a full-time opening for an Executive Assistant. The person in this position will be assigned to a variety of administrative and general office duties including, but not limited to, document creation, appointment scheduling, meeting organization and scheduling, and other tasks requiring above average organizational skills, which must be executed through independent judgment and action. This is a highly responsible position involving general coordination of office and administrative activities assigned by the Director of Community Support Operations (DCSO) or the Director of Transportation Operations (DTO). The employee in this position must frequently develop and refine his/her own work routine, adapt to emergencies, and is expected to carry assignments through to completion. In addition, assignments may include work beyond the normal workday.
Responsibilities will include, but not be limited to:
- Answer incoming calls for the DSCO and DTO.
- Greet and assist visitors for the DSCO and DTO in a demeanor exemplary of a professional office.
- Assist in scheduling various meetings, appointments and events. Assist with setting and distributing agendas, preparing materials and following up on related action items.
- Attend meetings with the DSCO and DTO as needed. Take and transcribe notes for all such meetings and related events. Keep a permanent organized record of those notes.
- Organize and maintain the schedules of the DSCO and DTO using Microsoft Office Outlook. Set appointments, reserve meeting rooms, manage scheduling conflicts, make travel arrangements, and adjust calendars as needed.
- Create, edit and format documents such as reports, notices, job descriptions, and correspondence as directed by the DSCO and DTO.
- Collaborate with the Senior Executive Assistant on organizing and coordinating internal and external events, including conferences, meetings and company gatherings.
Experience and Training Required:
- High school diploma or equivalent is required. Bachelor’s degree or the successful completion of a college-level course of study in office management, business practices or a related field is preferred.
- A minimum of 5 years of progressively responsible administrative experience is required.
Skills Required:
- Must have a high level of proficiency and accuracy in Microsoft Word, Microsoft 365, SharePoint, Publisher, Access, PowerPoint and related software.
- Must be detail oriented and possess good numerical aptitude.
- Ability to organize projects, prioritize workflow and complete multiple tasks accurately.
- Must have above average written and verbal communication skills with emphasis on correct English grammar.
- Must demonstrate the ability to exercise sound judgment, initiative and tact in dealing with persons supported by eitas, management, staff, Board Members and the general public.
- Must present a professional, business-like manner and appearance
Working Conditions:
The person in this position will be required to work in an office setting with periods of standing, sitting, occasionally reaching overhead, frequent handling of paperwork and computer equipment and frequent grasping. Work may be performed in a hybrid setting, requiring 3-4 days of the week worked on-site and allowing the remaining 1-2 days to be worked remotely as directed by the DCSO and/or the DTO.
The person in this position will be required to frequently interact with others in person and on the phone and continuously exercise clarity of vision at close range to perform job duties. Frequent interruptions are common, and the ability to refocus and maintain attention to detail is necessary.
Work hours are standard from 8:00 a.m. to 4:30 p.m., Monday through Friday, with some evening work needed periodically. The Executive Assistant will also be able to set his/her own office hours, with pre-approval by the DCSO and/or DTO. Punctual and regular attendance is required. All overtime must be pre-approved by the DSCO and/or DTO.
