We are currently seeking a highly motivated individual to join our team as a Planning Services Coordinator. As Planning Services Coordinator, you will be the back up to the liaison for the volunteer boards to include the Planning Commission and Board of Adjustment. In this position, you will be tasked with drafting hearing agendas, meeting minutes and combining staff reports. You will review residential site plans, septic applications, agricultural exemptions, temporary uses, and daycare applications.

Associate Planning Services Coordinator

Full Salary Range: $40,550.00 - $58,940.00 Annually

Hiring Range: $44,775.00 - $49,500.00 Annually

 

Planning Services Coordinator

Full Salary Range: $49,690.00 - $72,040.00 Annually

Hiring Range: $54,800.00 - $59,000.00 Annually

 

Senior Planning Services Coordinator

Full Salary Range: $53,810.00 - $80,730.00 Annually

Hiring Range: $60,500.00 - $65,200.00 Annually


This position has an anticipated work schedule of Monday – Friday, 7:30am – 4:30pm, subject to change.

This position performs reviews of plans and applications and provides customer service to the public, County departments, and local agencies. Provides technical and administrative support to staff. Researches, compiles, and analyzes data; assists with the general organization of public hearings. Assists the public with planning and development questions and concerns; performs technical tasks associated with the review of plans and applications. This position is part of the Planning Services Coordinator career progression series, which includes Associate Planning Services Coordinator, Planning Services Coordinator, and Senior Planning Services Coordinator. An employee is eligible to advance to the next position within the series when the employee has met the criteria for advancement as notated within the job description and has received a recommendation from the Hiring Authority.
  • Provides customer service duties by answering zoning-related inquiries; communicates zoning issues with property owners and contractors; and research land use history and data using a computer, maps, archived files, and publications. 
  • Receives and documents citizen complaints for Code Enforcement. 
  • Performs counter-based customer assistance to provide general or site-specific information about project processing requirements and standard interpretations of the Land Development Code.
  • Reviews and processes minor land use review applications, processes various types of building permits and applications, and disseminates information to the public. 
  • Reviews and processes minor residential projects.
  • Provides technical support and assistance to staff such as conducting research, creating maps and charts.
  • Performs data entry and inputs information into database. 
  • Provides support to the Planning Commission and/or Board of Adjustment.
  • Assists with the preparation of public hearing notices, coordinates mass mailings for public hearing items.
  • Performs agenda management and attends meetings; takes, transcribes, and distributes meeting minutes.
  • Organizes, processes and transfers records for inactive file storage, scanning and destruction. Locates information within inactive storage.
  • Creates and maintains internal records of incoming and outgoing communication.
  • Responsible for collecting and processing documents to be recorded. Serves as the primary contact with the Clerk and Recorder's Office.
  • Processes general receipts in compliance with policies and procedures. 
  • Assists with training staff as needed. 
  • Performs reception dutites as required.
  • Sorts and distributes incoming mail and faxes; processes outgoing mail.
  • Performs other duties as required.
Planning Services Coordinator
  • May provide department website support.
  • Responsible for intake and processing of surety; tracks expiration dates and processes renewal notices as needed. Responsible for preparing documents/packets in preparation of surety releases. Coordinates with the County Attorney’s Office and Inspections staff on surety-related matters. 
  • Responsible for preparing notices and coordinating mass mailings for public hearing items.
  • Performs data entry and inputs information into the database.
Senior Planning Services Coordinator
  • Provides training and guidance to planning support staff. 
  • Performs application intake and acts as initial distribution point for all applications, plans, reports, and other requirements associated with development applications. 
  • Assigns projects and application reviews to staff, ensuring equal workload distribution. 
  • Performs counter-based early assistance to provide general or site-specific information about project processing requirements and standard interpretations of the Land Development Code.
  • Prepares, maintains, and updates project files. Performs file preparation and scanning functions in support of digital file system. Indexes and research electronic records.
  • Balances funds received as needed and prepares daily deposits. Processes refunds of development applications as needed.
  • Prepares statistical reports as required. 
  • Responsible for intake and processing of surety; tracks expiration dates of and mails out renewal notices as needed. Responsible for preparing documents/packets in preparation of surety releases. Coordinates with the County Attorney’s Office and Inspections staff on surety-related matters. 
  • Performs agenda management and attends meetings; takes, transcribes, and distributes meeting minutes.
  • Provides support to the Planning Commission and/or Board of Adjustment. 
  • Creates and maintains internal records of incoming and outgoing communication as needed. 

Supervision Exercised: This classification does not have supervisory authority and requires no supervision or direction of others.
Supervision Received: Receives intermittent supervision. This classification normally performs the job by following established standard operating procedures and/or policies. Regular direction, guidance, and coaching from supervisor is expected. There is a choice of the appropriate procedure or policy to apply to duties. Performance reviewed periodically.Knowledge, Skills & Abilities
  • Working knowledge of basic land use principles is preferred.
  • Working knowledge of basic development-related principles is preferred.
  • Must possess strong organizational skills and attention to detail.
  • Must be detail-oriented and ensure accuracy in work. Ability to enter data in applicable databases timely and accurately.
  • Ability to read and interpret site plans, maps, and aerial photos is preferred.
  • Ability to communicate clearly, concisely, and professionally on the telephone and to walk-in customers.
  • Ability to establish and maintain effective working relationships with others. Ability to provide excellent customer service. 
  • Ability to make appropriate representations of policies, procedures, and regulations.
  • Ability to take and transcribe meeting minutes, perform data entry, and effectively communicate in writing.
  • Ability to operate standard office equipment including computers, multi-line telephones, copy machines, and fax machines. Ability to operate high speed scanners, wide format scanners and associated software.
  • Ability to complete the Planning Services Coordinator Matrix.
  • Proficiency with related databases and software, preferably Microsoft Office; expertise with spreadsheets, PowerPoint, and basic GIS (geographic information systems) functions.
  • Maintain regular and punctual attendance.
Required Education & Experience
  • High school diploma or equivalent education. 
  • One year of administrative experience.
    • Associate’s degree in a related field may substitute for the required experience. 
Planning Services Coordinator
  • High school diploma or equivalent education. 
  • Two years of administrative experience.
    • Associate’s degree in a related field may substitute for one year of the required experience. 
    • Bachelor’s degree in a related field may substitute for the required experience. 
  • Two years of planning and/or zoning experience. 
Senior Planning Services Coordinator
  • High school diploma or equivalent education. 
  • Three years of administrative experience.
    • Associate’s degree in a related field may substitute for one year of the required experience. 
    • Bachelor’s degree in a related field may substitute for two years of the required experience.
  • Three years of planning and/or zoning experience. 
Licenses/Certificates
  • Must possess and maintain a valid driver's license.
Pre-Employment Requirements
  • Must pass conditional post offer background investigation, motor vehicle record check, and drug screen.
Duties are performed primarily in an office environment; some travel may be required. May be required to stand for extended periods of time and bend. Some required meetings may extend after regular working hours.
