As a steward of public trust, this position is responsible for the administration processes for Foreclosure, Releases of Deeds of Trust, and collections and redemption of ad valorem taxes Preforms duties in accordance with Colorado Revised Statutes and Office policies and procedures with minimal supervision and guidance from leadership.
- Processes new foreclosure files received at the office by preparing files to be entered into foreclosure software. Works with foreclosing attorneys to obtain appropriate documentation and verifies all documentation to ensure that it has been accurately completed by the foreclosing attorneys.
- Prepares and maintains paper and electronic file folders, including scanning, filing recorded documents, maintaining files in the correct location and category, and sending and retrieving files from archives.
- Prepares and sends combined notices of sale and rights to newspapers. Reviews and corrects publication proofs. Cancels publication of notices as appropriate.
- Prepares and mails combined notices of sale and rights in accordance with statutes and mailing lists provided by foreclosing attorneys. Tracks all relevant deadlines.
- Enters costs and payments into records, calculates costs owed by and to foreclosing attorneys or parties requesting the release of deeds of trust, prepares routing information for outgoing checks, and ensures all incoming checks and cash are deposited promptly.
- Receives and processes information relating to legal filings, including bankruptcy, stays, and set-aside orders, as they apply to properties in foreclosure. Determines the correct action to take upon receipt of a court order.
- Processes incoming and outgoing mail, including certified mailing. Files and routes incoming mail, ensuring proper distribution.
- Receives and processes intents to cure and intents to redeem. Requests figures from foreclosing attorneys or holders of the certificate of purchases, provides figures to persons who filed the intent after auditing the figures received, and takes appropriate action if figures are not provided by the deadline date.
- Prepares files for sale in coordination with the foreclosing attorneys; audits and verifies lists of sale and continuances; continues files as directed by statute, the foreclosing attorney, or the public trustee; assists at foreclosure sale; and prepares post sale documents and other paperwork.
- Creates deeds upon request and in accordance with statutes, ensuring that proper documentation and funds are provided.
- Releases deeds of trust after examining documentation provided and payments submitted. Routes release forms to the Clerk and Recorder and returns other documents to the appropriate parties. Provides explanations to accompany rejection of requests for release.
- Prepares documents for recording and submits documents to the Clerk and Recorder’s Office.
- Interacts in person, over the telephone, and via email with the public, law firms, financial institutions, title companies, investors, and persons directly interested in specific foreclosures or release requests. Answers questions or refer question to the appropriate person inside or outside the office. Maintains a reception presence at the front desk.
- Complies with statutory collection processes to include redemptions, assignments, endorsements, notifications, cancellations, records notations, and records maintenance.
- Researches and reviews public records to assist with resolving ownership or other property issues and collection issues to ensure compliance.
- Provides and disseminates information to professionals and the general public regarding collection and enforcement of delinquent taxes.
- Processes tax payments and handles other local government transactions as needed.
- Monitors office equipment and supplies, processes orders as needed.
- Serves as a backup for verifying and updating daily payment transactions for multiple registers, prepares, and submits deposits to the bank.
- Performs other duties as required.

- Sworn as agent of the Public Trustee’s office to discharge the duties conveyed by C.R.S. 38-37-104.
- Knowledge of the Treasurer’s property tax collection process.
- Knowledge of Colorado Revised Statutes relating to tax compliance as well as State laws and legal documents, County and office policies, procedures, and operations.
- Working knowledge of State laws and legal documents, County and Office policies, procedures, and operations.
- Must possess strong analytical skills and a high level of attention to detail.

- High school diploma or equivalent education.
- Two years of experience in legal, real estate, foreclosures, cash handling, or related fields.
- Associate’s degree in a related field may substitute for one year of the required experience.
- Bachelor’s degree in a related field may substitute for two years of the required experience.
- Must pass conditional post offer background investigation and drug screen.
