What are the responsibilities and job description for the MS Registrar/PEIMS Clerk - Flagship position at El Paso Leadership Academy?
Primary Purpose:
The Registrar/PEIMS Clerk’s primary responsibilities are to support the school’s Registration and PEIMS reporting processes. The Registrar/PEIMS Clerk ensures appropriate documentation is maintained for each and every student regarding registration and educational program eligibility.. The Registrar processes all student online registration packets, providing the Dean of Special Services/Assistant Principal of Special Services with the appropriate documents to ensure compliance with Special Programs eligibility. The Registrar ensures all registration packets are complete and families are notified of missing documents upon receipt of the registration packet. The Registrar also maintains campus cumulative records and adheres to storage requirements for up to 7 years for auditing purposes. The PEIMS Clerk ensures all coding timelines are met by working collaboratively with the Assistant Principal of Special Services/Dean of Special Services in documenting special program eligibility. The PEIMS Clerk works with the campus’ Testing Coordinator in ensuring PEIMS coding is updated as needed for the STAAR/TELPAS assessments. The PEIMS Clerk also works collaboratively with the Attendance/Nutrition Clerk in ensuring all federal/state requirements are met regarding attendance/food services. The Registrar/Nutrition Clerk assists the Executive Director/Principal with other duties as assigned (e.g. robocalls, Remind Messages, and Newsletters to families).
Education/Certification:
- High School Diploma
- Some college hours preferred
Experience:
- At least one year working in a school support position, preferred
- Previous experience using computer equipment, preferred
Special Knowledge/Skills:
- Working knowledge of the TxEIS Ascender program or similar program
- Understanding of student school enrollment requirements
- Ability to implement policy and procedures associated registration processes
- Ability to interpret data
- Ability to follow assignment duties as directed by the Director of Operations/Assistant Principal of Operations
- Demonstrate a passion for and commitment to EPLA’s mission and educational model
- Strong organizational, communication, public relations, and interpersonal skills
- Personal qualities of maturity, humility, strong work ethic, sense of humor, and a “roll-up-my-sleeves” attitude

Responsibilities and Duties include but are not limited to:
Registrar
- Assists teachers with setting up their communication accounts (i.e. Remind app, Ascender parent portal)
- Assists with the development and maintenance of student registration paperwork and portal documents
- Assists with the collection of registration documents
- Provides relevant copies of registration paperwork to the Assistant Principal of Special Services/Dean of Special Services for ARD/LPAC purposes
- Communicates to families regarding missing registration documents in a timely manner (within two weeks of registering)
- Provides campus Admin Team members with student enrollment data on a weekly basis
- Provides the Executive Director/Principal information on “no show” students at the end of the first day of school
- Ensures student immunization records are up-to-date
- Assists with coordinating teacher, administrator, student, family conferences as requested by administration
- Assists with translation during teacher, administrator, student, family conferences as needed
- Maintains cumulative records for auditing
- Serves as a campus visitor‘s primary contact
PEIMS
- Maintains up-to-date regarding PEIMS reporting requirements
- Ensures all PEIMS report deadlines are met
- Obtains PEIMS coding from the Dean of Special Services/Assistant Principal of Special Services
by mid-October to ensure reporting timelines are met
- Reviews PEIMS data with the Executive Director/Principal a week before the reporting deadline
- Assists the Attendance/Nutrition Clerk with coding students for free/reduced programs
- Ensures all special programs codes are obtained from parents during the registration process
- Ensures compliance with all federal/state laws associated with PEIMS reporting
Other
- Completing and submitting weekly time-sheets to the Director of Operations/Assistant Principal of Operations

While performing the duties of this position, the employee is regularly required to talk, hear, and communicate with both adults and children. The employee is frequently required to stand; walk; sit; and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds and occasionally climb ladders.
