General Description

The accounting specialist must be able to correct, process, and reconcile a wide variety of accounting documents such as invoices, department billings, employee reimbursements, cash receipts, vendor statements, and journal vouchers; review and code financial information; prepare and process documents to disburse funds, make deposits and prepare reports; complete and review information for accuracy; and maintain records. Work is performed by applying knowledge of accounting terminology and using spreadsheets and/or automated accounting system.

This class works under close to general supervision according to set procedures and reports directly to the Assistant Controller.

Duties and Responsibilities

The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

• Prepare recurring general journal entries for the month to include prepaids, supplies, cash, investment income, and other miscellaneous entries.
• Assist in monthly bank reconciliations.
• Enter and reconcile vendor invoices in Accounts Payable system.
• Preparation of monthly accrual for expenses processed.
• Logs all incoming checks and makes copies or scans checks.
• Run daily Texas Comptroller report to review center reimbursements.
• Electronically deposits checks to Center's bank account.
• Cashiering functions: receives monies/checks, records and write receipts when appropriate for consumer's rents and employee's reimbursements, etc.
• Preparation of monthly grant vouchers and invoices.
• Assist in reconciliation of balance sheet accounts.
• Assist in preparation of audit schedules and other auditor inquiries.
• Assist in preparation of monthly financial schedules.
• Prepare quarterly forms for submission to the State.
• Meet accounting deadlines.
• Compose routine correspondence and reports.
• Receives accounting department mail, sorts and distributes to appropriate staff.
• Maintains inventory of department supplies.
• Recommend to management any updates to accounting policies.
• Safety- Ensures work behavior is in compliance with Safety Regulations.
• Participates in the design of unit services and training for staff
• Maintains regular communication channels with supervisor.
• Other duties as assigned.

Minimum Education and Experience Requirements

Requires an Associate's degree in accounting, business administration, finance or related field, supplemented by two (2) years of accounting practices or relevant experience; or possession of any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities.

Experience with trauma-informed services; cognitive behavioral therapies, including Dialectical Behavioral Therapy (DBT); and motivational therapies including the use of incentives, preferred.

Required Knowledge and Abilities

Knowledge of trauma-informed theories, principals, and practices (includes multi-faceted understanding of concepts such as community trauma, intergenerational and historical trauma, parallel processes, and universal precautions), preferred.

Physical Demands

Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.

Unavoidable Hazards (Work Environment)

• Involves routine and frequent exposure to:
  • Bright/dim light; Dusts and pollen.
  • Other extreme hazards not listed above.

Special Certifications and Licenses

• Must possess and maintain a valid state Driver's License with an acceptable driving record.
• Must be able to pass a TB, criminal background, and drug screen.
