Job Summary:
We are seeking a highly organized and professional Administrative Assistant and Receptionist to join our team. This role is responsible for managing front-desk operations, providing administrative support to various departments, and ensuring smooth day-to-day office functions. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Reception & Front Desk Duties:
- Greet and welcome visitors, clients, and employees with professionalism and a friendly attitude.
- Answer, screen, and forward incoming phone calls in a polite and efficient manner.
- Maintain a clean and organized reception area.
- Handle incoming and outgoing mail, packages, and courier services.
- Manage visitor logs and issue visitor passes as needed.
Administrative Support:
- Assist in scheduling meetings, appointments, and conference calls.
- Prepare and distribute correspondence, emails, reports, and other documents.
- Maintain and update office records, databases, and filing systems.
- Order and manage office supplies and inventory as requested.
- Coordinate travel arrangements and accommodations for staff when required.
- Assist with special projects, data entry, and document preparation as needed.
Office Coordination:
- Ensure office equipment (printers, copiers, phones, etc.) is functioning properly and coordinate maintenance when necessary.
- Support HR and other departments with onboarding new employees and maintaining employee records.
- Assist in organizing company events, meetings, and training sessions.
- Enforce office policies and procedures to maintain a professional work environment.
Qualifications & Skills:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 1-3 years of experience in administrative or receptionist roles.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Friendly and professional demeanor with strong customer service skills.
- Ability to handle confidential information with discretion.
- Experience with office management software and scheduling tools is a plus.
Working Conditions:
- Standard office environment with occasional lifting of office supplies (up to 20 lbs).
- Sitting for extended periods while working at a computer.
- Interaction with a variety of staff, clients, and vendors.
