Mercy Brown Bag Program Assistant Director :

This role is responsible for managing the daily operations of the Brown Bag Program, as well as overseeing Development and Volunteer Management.

Reports to the Mercy Brown Bag Director and is tasked with achieving annual fundraising objectives, managing data, facilitating communication, coordinating activities, and ensuring compliance in all fund development initiatives and volunteer management at the Mercy Retirement and Care Center, specifically within the Mercy Brown Bag Program (MBBP).

Will offer leadership, coordination, and strategic direction, along with establishing policies to support the efforts of both volunteers and staff involved in development and operational compliance.

The MBBP Internal and External Operations Managers, the MBBP Fund Development Manager, and the MBBP Volunteer Coordinator will report directly to the Assistant Director.

In the absence of the MBBP Director, the Assistant Director will be required to take on the Director's responsibilities.

ESSENTIAL FUNCTIONS

A. Manages the Fundraising and Development Function :

1) Responsible for the strategic planning and supervision of all fund development activities for Mercy Brown Bag. This includes establishing objectives, formulating and executing plans to meet these objectives in collaboration with the Development team, and obtaining Director approval for development initiatives and goals.

2) Key responsibilities encompass, but are not limited to, overseeing and occasionally drafting grant applications and reports, collaborating with the Development Manager on the creation and management of annual giving campaigns, major gift solicitations, targeted appeals, annual reports, special events, and planned giving initiatives.

3) Is conversant with Bloomerang and able to run reports to evaluate progress; oversees Development Manager on effective use of the system to meet departmental goals.

B. In the absence of the Director, effectively represents the organization and its individual components by cultivating positive relationships with grant making foundations, major corporate and individual donors. Attends routine community meetings representing the interest of Brown Bag. Provides leadership through direct involvement with gift solicitations at the highest levels.

C. Collaborates with the Director, Development Manager, and team members to maintain and enhance relationships with donors, fostering loyalty and a sense of ownership among current donors, advisory team participants, and volunteers.

D. Oversees daily Operations and Compliance

1) Ensures the implementation of efficient operational processes and procedures within External and Internal Operations, Volunteer Management, and the Fund Development Department.

2) Work with Internal and External Operation Managers and the Volunteer Coordinator to oversee the monitoring of all grocerIes including recipient tracking and inventory management, volunteer hour tracking, and the management of a robust donor tracking and reporting system. While the Development Manager and Operations Managers will do the actual tracking and management of all documentation; the Assistant Director will act as a knowledgeable second line of defense by monitoring and providing oversight of these critical compliance activities, in accordance with BB contractual obligations.

3) Collaborate with the Program Manager and Development Manager to finalize and execute contracts as necessary, which encompasses partner MOUs and grant agreements that require signatures from the VP of Operations and TA Executives.

4) Works alongside the Finance team to guarantee compliance and facilitate successful operational audits when required.

5) Oversee and supervise the fund development office and its support staff, ensuring prompt communication and the maintenance of accurate records, files, and donor database information.

E. Suggests suitable staffing levels to achieve operational and fundraising goals. Provides leadership in the recruitment of new personnel, as well as in the guidance, oversight, and professional development of all team members involved in Fund Development, Operations, and Volunteer Management. Facilitates or brokers consultative expertise to enhance the effectiveness of current programs, team members, and volunteers.

F. Prepares, coordinates and submits for Director approval fundraising office budgets for all components of the organizational fundraising effort.

G. In collaboration with the Development Manager, attend monthly the meetings and engage with Transforming Age team on the Fund Development Committee. This position entails support in the following areas :

1) Updating Transforming Age Development leaders on BB activities and finding opportunities for collaboration and extension of BB / TA joint value.

2) Delivering training on fund development and gift solicitation in areas where BB has expertise.

3) Ensuring adherence to operational standards.

4) Providing leadership and guidance to the committee in furtherance of its initiatives.

H. Manages Volunteer Coordinator and Oversees Successful Volunteer Effort

1) The Assistant Director is responsible for supervising the Volunteer Coordinator and ensuring the effectiveness of the volunteer program. Volunteers play a crucial role in the operations of MBBP. The Assistant Director will oversee the Volunteer Coordinator, who is tasked with recruiting, supervising, and managing volunteers throughout the MBBP distribution sites. Additionally, the Assistant Director will collaborate with the Coordinator to motivate and reward volunteers, mitigate risks, ensure the completion of training, and accurately track volunteer hours and contributions.

Qualifications Position Requirements

  • At least 18 years of age.
  • Cleared Criminal Record clearance through the Department of Social Services prior to presence in the community.
  • Health screening and TB test results are not older than 6 months.
  • Current First Aid Training and Certifications as per Title 22.
  • Passion, sensitivity and knowledge of working with older adults, the aging process and dementia care are essential.
  • Regular attendance and punctuality.
  • Effective English verbal and written communication skills with the ability to successfully work in a multi-cultural environment.

Education and Experience

  • Minimum High School Diploma or equivalent
  • A Bachelors degree is required.
  • Candidates with relevant development experience or professional certification in fund development will be prioritized, along with those who have skills in editing, grant writing, or food operations.
  • A minimum of five (5) years of experience in non-profit management is required, encompassing areas such as fundraising, grant writing, food safety or operations, and volunteer management or leadership within foundations or non-profit organizations.
  • The candidate should possess extensive and profound expertise, bolstered by significant experience and a proven track record of success in the following domains :
  • Management of fund development offices.

  • Execution of annual and direct mail campaigns.
  • Solicitation of major and planned gifts.
  • Development of grant proposals and management of foundation relations.
  • Formulation of fundraising policies.
  • Management of partner relationships.
  • Oversight of food delivery, distribution, and operations. While prior experience in health care or food delivery is advantageous, it is not mandatory.
  • Physical Requirements

  • Lifting / pushing and pulling up to 50 lbs. and 100 lbs. with assistance.
  • Frequent standing and walking.
  • Work on weekends and holidays, based on scheduling.
