What are the responsibilities and job description for the Administrative Operations Supervisor position at Electrical Training Institute?
Recognized as the premier electrical training school in the nation, the Net Zero Plus Electrical Training Institute in Los Angeles is a partnership of the International Brotherhood of Electrical Workers Local 11 and the Los Angeles Chapter of the National Electrical Contractors Association. Each year, we train more than 4,000 electrical workers and contractors at our state-of-the-art electrical training center in order to prepare them for challenging and rewarding careers in the industry.
Position Summary:
This is a supervisory position that manages the ETI’s Clerical Team who are the foundation of the processing and educational support provided to members of the institution. Our vision is to provide a world class facility which graduates world class electricians. In order for our vision to succeed and grow, our Clerical Team works to provide top of the line customer service and administrative support.
Executive & Senior Staff Collaboration Focused Tasks:
- Collaborate with Director, Assistant Directors, and Senior Staff in developing policies, practices, and procedures to ensure consistency of implementation across all programs, and State agencies.
- Collaborate with Human Resources and Management Staff on strategic staffing plans, promotions, wage increases, training and development, and employee relations.
- Collaborate with Director, Assistant Directors, and Senior Staff in recognizing, reviewing, discussing, designing, and developing solutions to systemic problems.
- Develop opportunities for the clerical staff and senior staff to build communication systems and have a clear understanding of each other’s roles within the main functionality of the organization.
- Be a consistent point of contact for research, review, and clarification of proper procedural actions across all levels of staff and management to ensure consistency of implementation across all programs.
- Collaborate with Director, Assistant Directors, and Senior Staff in the design and development of rubrics and evaluation materials for a variety of policies and procedures.
- Provide visible and consistent leadership presence.
Operations Management Focused Tasks:
- Provide high-level, confidential administrative support to the Training Director and Assistant Training Directors.
- New Employee Onboarding, Delivering Training Content, Maintaining/Updating Standard Operating Procedures.
- Manage the scheduling and calendaring of all clerical staff.
- Provide coaching, mentoring, and cross-functional conflict resolution across clerical staff on company standards, as well as working with team members 1-on-1, and in small groups, to enhance performance and employee satisfaction.
- Development and implementation of a wide range of initiatives that prioritize increased employee satisfaction, engagement, and retention of clerical staff members.
- Be a consistent catalyst and example for positive workplace interactions, engaging work performance, and promoting a culture of teamwork that prioritizes well-being and professional growth.
- Advising on current policies and appropriate guidance on remediating policy infractions and resulting penalties, as well as communicating policy changes in a way that promotes clarity and understanding.
- Formatting information for internal and external communication – memos, email, and reports.
- Collaborating on and providing support for company events which encourage group participation and engagement from multiple levels of staff and management with a focus on building community and encouraging cultural competency through engagement.
- Manage and/or monitor a variety of complex calendars.
Additional Requirements
Education and Experience:
- Previous Experience within a trade school environment is desired and/or preferred
- Previous Experience within a union environment is desired and/or preferred
- Previous Experience within an office environment is required (five years minimum)

Hours of Work:
This is a full-time exempt position. Office hours are Monday – Friday 7:30am-5:00pm.
This position requires the employee to work at the office, and not from home.
Must be reliable and dependable.
This position will be for a period of 1 year.
