Job Summary: We are seeking a detail-oriented and experienced International Shipping Agent to manage and prepare export documentation across multiple shipping platforms. This role involves coordinating with internal teams, freight forwarders, and customs authorities to ensure the accurate and timely preparation of all necessary export documents, facilitating smooth international shipments.
Key Responsibilities:
- Document Preparation: Prepare and review essential export documents, including commercial invoices, packing lists, bills of lading, certificates of origin, and export packing lists, ensuring accuracy and compliance with international trade regulations.
- Dangerous Goods Shipment Preparation: Responsible for ensuring the proper handling, packaging, and shipping of dangerous goods in compliance with all relevant safety regulations and industry standards.
- Compliance Assurance: Ensure all export documentation adheres to the laws and regulations of both the exporting and importing countries, including customs requirements and international trade laws.
- Coordination with Freight Forwarders: Communicate and negotiate with freight forwarders and carriers to obtain original and rated bills of lading on time with accurate information.
- Internal Collaboration: Work closely with sales, customer service, logistics, and warehouse personnel to gather necessary information and ensure timely preparation of export orders.
- Customer Communication: Correspond with customers for approval of documents and provide regular updates on shipment status.
- Record Maintenance: Maintain organized export files and keep shipping records up-to-date and accurate.
- Electronic Export Information (EEI) Submission: Submit export shipments’ EEI through the Automated Commercial Environment (ACE) via AESDirect.
- Issue Resolution: Research and resolve export related issues in a timely manner.
- Invoice Assistance: Assist with the creation of invoices related to export shipments.
- Supplier and Vendor Follow-Up: Follow up with suppliers and vendors to ensure timely delivery of all necessary documents.
Qualifications:
- Education: Bachelor's degree in global supply chain, international business, or a related field is preferred.
- Experience: Previous experience in international shipping, export documentation, or supply chain management is highly desirable.
- Knowledge: Understanding of international shipping regulations, customs procedures, and various shipping platforms.
Skills:
- Proficiency in standard office software, including word processing and spreadsheets.
- Experience with export documentation software is advantageous.
- Strong communication and interpersonal skills.
- Detail-oriented with excellent organizational abilities.
- Ability to work collaboratively in a team environment.
