JOB SUMMARY: The Membership Coordinator is responsible for assisting with the association membership tracking and administration as well as various day-to-day office functions.
JOB DUTIES
Membership
- Maintains member databases and manages contact information changes (using Outlook, Excel and Salesforce)
- Assist with dues mailings and track payments received
- Generate dues invoices for new members and annual renewals via association management software
- Set up new client membership structure in association management software
- Manage software upgrades and changes with vendor
- Research short payments and contacts members and potential members as needed to confirm information
- Tracks new member prospects/new locations where applicable and sends membership packets
- Proactively follow up on lapsed members and member prospects
- Cross reference full membership database with association email lists, corporate lists and any other available list on annual basis
- Reports to regional presidents, Boards, Association Managers on new members, dues payments and other membership information
- Educates members and prospects on value of association membership
- Enter vendor and member updates in association management software, Salesforce
- Generate and properly format weekly reports via Salesforce for each association and association lead
Administrative Duties
- High level administrative support using MS Office programs.
- Assist office team in answering phone calls daily.
- Respond to inquiries on own initiative and respond to correspondence when appropriate.
- Assist with the preparation of member and vendor invoices, send to customers, track payments and prepare monthly statements and/or correspondence for collection of outstanding invoices
- Receives payments and records all receipts in the appropriate ledgers
- Assist with checking all invoices for accuracy, obtaining approval where necessary from management
- Assists with maintaining the financial filing system and assists with company-wide filing system when needed
- Aid in the preparation of statements, billing, reports, and schedules as needed
- Provides general assistance and support to accounting department and other duties as assigned
QUALIFICATIONS/REQUIRED SKILLS
o Experience: 4 years proven experience in administrative support field
o Education: High school degree
o Knowledge: Expert level in MS Office (Word, Excel, Outlook and PowerPoint), skilled in the proper formatting of letters and documents, proficient with mail merges. Database management experience required.
o Experience with Saleforce is a plus
