Key Responsibilities
- Supervise daily operations of the medical office, including patient scheduling, registration, billing, and collections.
- Manage and mentor administrative staff, including training, scheduling, and performance evaluations.
- Ensure compliance with healthcare regulations and standards, including HIPAA and OSHA.
- Monitor inventory of medical and office supplies and place orders as necessary.
- Coordinate with medical providers to optimize patient care and workflow.
- Resolve patient complaints and issues in a timely and professional manner.
- Prepare and analyze reports on office productivity, patient satisfaction, and financial performance.
- Implement and enforce office policies and procedures to maintain efficiency and quality of care.
- Conduct regular meetings with staff to communicate updates, address concerns, and promote teamwork.
- Stay current with industry trends and best practices to continuously improve office operations.
- High school diploma or equivalent required; Associate or Bachelor’s degree preferred.
- Minimum of 2 years of experience in a medical office setting, with at least 2 years in a supervisory role.
- Strong knowledge of medical terminology, billing processes, and insurance procedures.
- Proficiency in medical office software and electronic health records (EHR) systems.
- Excellent interpersonal and communication skills, with the ability to interact effectively with patients, staff, and providers.
- Proven leadership abilities, including team building, conflict resolution, and decision-making skills.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Certification in medical office management or healthcare administration is a plus.
