Job Overview:
We are seeking a dedicated and detail-oriented Assistant Regional Manager (ARM)to join our dynamic property management team. The ARM will play a pivotal role in supporting the daily operations of a portfolio of properties, ensuring the highest level of service for residents and the smooth management of all aspects of property operations. This role involves overseeing and training a team of property managers, ensuring compliance with all regulatory requirements, and assisting with budgeting, financial reporting, and property marketing.
Under the direction of the Vice President (“VP”), the Assistant Regional Manager will assist in overseeing Kalos Residential’s (“Kalos”) portfolio of managed properties. Kalos is a sister company of Four Mile Capital, LLC (“4MC”), which acquires and owns multi-family assets across the United States (individually a “Portfolio Asset” and collectively the “Portfolio Assets”) and was formed for the exclusive purpose of managing the Portfolio Assets. The primary objective of the ARM is to assist VP to ensure each asset performs better than or equal to our financial proforma by maximizing revenue growth while controlling expenses. In so doing, the ARM’s job functions will include, but not be limited to, general administration, as well a directing and supervising all site-team personnel and resources to achieve the fiscal goals of the company while maintaining each property in the portfolio in good physical condition.
Travel to Portfolio Assets will be required. Travel amounts will vary as/if needed at the discretion of the VP.
Key Responsibilities:
- Support Regional Operations: Assist the Regional Manager with overseeing day-to-day operations of the Portfolio Assets, ensuring efficient and effective management of staff, resources, and services.
- Staff Supervision and Training: Support, train and mentor site-level property and assistant managers, leasing agents, and maintenance teams, providing guidance and support for staff development and training. Ensure all team members follow company policies and procedures.
- Property Maintenance and Upkeep: Work with site administrative teams and maintenance teams to ensure the Portfolio Assets are well-maintained, addressing any issues with repairs, maintenance requests, and preventative measures.
- Budgeting and Financial Oversight: Assist with budget preparation and track expenses to ensure the Portfolio Assets stay within budget. Review financial reports, ensure timely collection of rents, and track delinquencies. Be vigilant in seeking out opportunities to grow revenues and control expenses.
- Resident Relations: Address tenant concerns and resolve issues in a timely and professional manner. Ensure high levels of resident satisfaction and community engagement.
- Marketing and Leasing: Help with the development and implementation of marketing strategies to attract new residents and retain current ones. As needed, travel to sites to oversee leasing activities, including showing units and ensuring compliance with lease terms.
- Compliance and Reporting: Oversee site teams to ensure all properties are in compliance with local, state, and federal regulations. Review weekly reports on property performance, including occupancy rates, budget compliance, and maintenance status.
- Emergency Response: Be available to assist site teams with emergency situations, ensuring a prompt and effective response to any incidents or property-related issues.
- Project Management: Oversee special projects including property renovations, capital improvements, and community initiatives, ensuring projects are completed on time and within budget.
- Transitions/Dispositions/Acquisitions: Assist VP with transitions and dispositions of existing 4MC portfolio and acquisitions of new properties.
Assist VP to:
- Evaluate staffing needs for each Portfolio Asset to maximize net income and resident satisfaction.
- Ensure maximum level of service and commitment to resident retention at each Portfolio Asset.
- Implement Kalos’s standards to evaluate and administer methods to foster responsibility, stability and accountability among site team members to maximize productivity and efficiency.
- Implement, monitor and ensure proper, timely and accurate record keeping according to Kalos’s standards (e.g., lease files, vendor files, invoices, schedules, payroll, move‐out dispositions, etc.) for each Portfolio Asset.
- Provide training, teaching and support to site teams to promote focus, dedication and achievement of 4MC’s priorities and objectives.
- Provide appropriate recognition and incentives for team members to obtain property goals or benchmarks. Conversely, take corrective measures for failure or inability to obtain goals.
- Ensure that all reports are accurate and submitted in a timely manner. These reports should include but are not limited to weekly reports, monthly financial reports, quarterly unit and insurance inspections, and monthly and quarterly bonus reports.
- Ensure proper oversight of the Portfolio Assets when taking time off. Time off must be approved by VP to ensure there is capacity to cover in ARM’s absence.
- Other duties as assigned.
Qualifications:
- Minimum of 5 years of experience in property management, with at least 2 years in a supervisory role.
- Knowledge of property management software and Microsoft.
- Strong understanding of property operations, leasing, maintenance, and budgeting.
- Excellent communication, leadership, and interpersonal skills.
- Ability to multitask, prioritize, and work both independently and within a team.
- Strong problem-solving and decision-making abilities.
- Strong understanding of local, state, and federal property management regulations.
- Availability to work a 45-hour week, increasing as needed, including weekends and evenings.
- In-office presence at the Kalos’s and 4MC’s corporate headquarters Monday-Thursday currently, with an understanding that may increase to five days/week in the future at the discretion of Kalos’s and 4MC’s ownership.
