POSITION SUMMARY
We seek a Front Office Receptionist who will schedule client appointments efficiently and professionally, greet clients, coordinate required paperwork, and process client appointments.
POSITION DUTIES AND RESPONSIBILITIES
- Receives incoming requests (via telephone, fax, internet, or internal call list) to schedule client appointments.
- Greets clients in a polite, prompt, and helpful manner. Provides direction, information, and other assistance to clients as necessary.
- Provides appropriate forms to the client for completion and signature. If necessary, provide appointment preparation instructions and materials.
- Inputs and verifies information in the appropriate management system to ensure accuracy.
- Collects the appropriate fees from the clients. Makes correct change when necessary and generates a receipt for payment.
- Reviews scheduled client appointments and may contact clients via telephone to confirm appointment date, time, and location. Advises the client of any preparations required for the procedure when necessary.
- Schedules client exams based on physician and facility availability.
- Answers phones in a pleasant manner and handles client needs quickly and appropriately.
- Maintain adequate office supplies and inform appropriate parties for reorders. Ensures office equipment is operating correctly and contacts appropriate parties for equipment repair.
- Assists in maintaining a clean, orderly waiting area.
- Identifies scheduling-related issues. Communicate appropriately to the PCC Supervisor regarding these and other departmental issues
- Interfaces with VA Community Care , entering new patient information and claims.

This position calls for a highly organized individual as their role will require self-direction, flexibility, and a capacity to give and receive feedback graciously. The Front Office Receptionist should possess the following professional qualifications and personal attributes:
- Knowledge of and experience in using office equipment including telephone, fax, computer, and photocopier.
- Knowledge of and experience in using Microsoft Word and Excel.
- Knowledge of scheduling software
- Knowledge of customer service concepts and techniques.
- Ability to communicate clearly in person and on the telephone.
- Ability to use people skills to effectively interact with other staff members, clients, and families when providing instructions, responding to questions, or exchanging client-related information.
- Ability to organize and prioritize tasks effectively.
- Ability to read, understand, and follow oral and written instructions.
- Ability to maintain the confidentiality of client record information.
- Strong customer service skills and the ability to keyboard proficiently
PHYSICAL AND MENTAL DEMANDS
Position requires sitting for six to seven hours per day; eye-hand coordination and finger dexterity; ability to view computer screens for long periods and hear within normal range; ability to transfer client files from one area to another. The position may be stressful due to the workload and dealing with demanding clients.
