POSITION SUMMARY

We seek a Front Office Receptionist who will schedule client appointments efficiently and professionally, greet clients, coordinate required paperwork, and process client appointments.

 

POSITION DUTIES AND RESPONSIBILITIES

  1. Receives incoming requests (via telephone, fax, internet, or internal call list) to schedule client appointments.  
  2. Greets clients in a polite, prompt, and helpful manner. Provides direction, information, and other assistance to clients as necessary.  
  3. Provides appropriate forms to the client for completion and signature. If necessary, provide appointment preparation instructions and materials.
  4. Inputs and verifies information in the appropriate management system to ensure accuracy.
  5. Collects the appropriate fees from the clients. Makes correct change when necessary and generates a receipt for payment.
  6. Reviews scheduled client appointments and may contact clients via telephone to confirm appointment date, time, and location. Advises the client of any preparations required for the procedure when necessary.
  7. Schedules client exams based on physician and facility availability. 
  8. Answers phones in a pleasant manner and handles client needs quickly and appropriately.
  9. Maintain adequate office supplies and inform appropriate parties for reorders. Ensures office equipment is operating correctly and contacts appropriate parties for equipment repair. 
  10. Assists in maintaining a clean, orderly waiting area.
  11. Identifies scheduling-related issues. Communicate appropriately to the PCC Supervisor regarding these and other departmental issues
  12. Interfaces with VA Community Care , entering new patient information and claims.

 

 

DESIRED PROFESSIONAL SKILLS AND EXPERIENCE

This position calls for a highly organized individual as their role will require self-direction, flexibility, and a capacity to give and receive feedback graciously. The Front Office Receptionist should possess the following professional qualifications and personal attributes:

  1. Knowledge of and experience in using office equipment including telephone, fax, computer, and photocopier.
  2. Knowledge of and experience in using Microsoft Word and Excel.
  3. Knowledge of scheduling software
  4. Knowledge of customer service concepts and techniques.
  5. Ability to communicate clearly in person and on the telephone.  
  6.  Ability to use people skills to effectively interact with other staff members, clients, and families when providing instructions, responding to questions, or exchanging client-related information.  
  7. Ability to organize and prioritize tasks effectively.
  8. Ability to read, understand, and follow oral and written instructions. 
  9. Ability to maintain the confidentiality of client record information.
  10. Strong customer service skills and the ability to keyboard proficiently

 

PHYSICAL AND MENTAL DEMANDS

Position requires sitting for six to seven hours per day; eye-hand coordination and finger dexterity; ability to view computer screens for long periods and hear within normal range; ability to transfer client files from one area to another. The position may be stressful due to the workload and dealing with demanding clients.
