We seek a highly organized, tech-savvy Bookkeeper and Office Manager. You will play a key role in ensuring smooth daily operations and offering unmatched luxury service to our clients. This position provides an opportunity for growth as you assist with managing our clients' most valuable personal assets.
Position Summary: The Bookkeeper / Office Manager will work closely with leadership to ensure operational success across all back-office functions of the business. This role is responsible for high-level administrative support, including accounting duties, client invoicing, payroll processing, employee documentation management, asset inventory management, clerical tasks, and visitor management.
Key Responsibilities:
Bookkeeping and Payroll
- Daily A/P and A/R billing entry with G/L coding, receipt scanning, and QuickBooks database updates
- Code/post daily bank transactions, perform monthly bank reconciliations and update balance sheet reconciliations.
- Prepare and submit draft payroll and reconcile work orders with timecards for payroll accuracy.
- Handle W-2 year-end reporting and filing
- Prepare routine financials for the owner and tax accountant
Office Management, Clerical, and Reception Duties
- Annual legal entity reports and filings
- Quarterly CO Unemployment Insurance filings
- Create and maintain administrative forms (PTO requests, work order templates, new hire packets)
- Handle vehicle registrations and receive packages/freight deliveries
- Facilitate employee employment documentation, including applications, W-4s, I-9s, emergency contact lists
- Enter new hire information into payroll and report all new hires on federal and state employment sites
- Maintain employee and asset files.
- Procurement and management of office supplies
- Run assigned errands (package drop-offs)
Qualifications:
- Proven experience as a bookkeeper in a subcontractor or other Luxury Service company, Family Office, or similar role familiar with Private Residential Services.
- Exceptional organizational and multitasking skills with the ability to prioritize effectively.
- Tech-savvy with proficiency in various apps to streamline processes, such as Employee time tracking, QuickBooks, Basecamp Project Management, and The Nines.
- Strong communication skills and attention to detail.
- Experience working with HNW and UHNW clients is highly preferred.
- Ability to handle sensitive information with discretion and confidentiality.
- Familiarity with project management tools and techniques.
- A proactive and client-focused attitude with a desire to deliver top-tier service.
- A current driver’s license and clean driving record is required.
- Successful completion of a thorough background investigation and reference check.
- Proficient in English and Spanish is a plus.

Compensation Range: $40 depending on experience.
