Our office is growing and we're looking for an Executive Assistant to be the right hand to our Financial Planner. Duties and qualifications are outlined below.
DUTIES :
1. Customer Relations
2. Manage appointments & maintain calendar
3. Account Setup & maintenance (Paperwork prep & status update to clients)
4. Pay bills and keep credit card information up to date
5. Maintains & Updates information in our Client Relationship Management (CRM) Software (Redtail)
6. Client correspondence – (Account setup, management, and client documentation)
7. Monthly Correspondence Report
8. Daily Service Net Ticket monitoring
9. Maintain Blotters (Check / Gifts etc)
10. Asset Movement in NetX360
11. Service Requests in WMP (Raise Cash, etc)
12. Client management – Albridge / Oneview (reports and client access)
13. Office environment (Supplies, appearance, welcome sign)
14. Payroll
15. Marketing Materials (MyCMO)
16. Annual Reviews - Pull and verify accuracy of Albridge reports; Verify any KYC missing data or updates needed
QUALIFICATIONS
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Administrative Assistant.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills. Critical thinking ability is a must.
- Handle confidential and secure information and documents.
- Well-versed in the Microsoft Office Suite (esp. Word, Outlook, and Excel).
- Excellent time management skills and the ability to prioritize work and multi-task.
- Strategic mindset that can envision the big picture – and still take care of the small details.
