Role Description
Elevation Marketing is looking for an Office manager. This is a full-time on-site role (with two work-from-home days a month or four half-days) located in the greater Phoenix area.
The Office Manager will be responsible for a broad range of administrative duties including overseeing daily office operations, handling general administrative tasks, managing office equipment, handling office communications, coordinating schedules, maintaining office supplies, facilitating travel requests, supporting special internal events, and ensuring a well-organized, efficient, effective and personable administrative efforts to support our great staff.

Key Qualifications
- The ability to perform multiple job functions in a fast-paced environment
- 3-7 years professional experience working for a professional service firm such as legal, accounting, finance, marketing and/or advertising agency is preferred.
- Utilizes at a high-level MS Outlook, Word, Excel and Power Point and other technologies to get work done.
- Great judgment, professional, positive energy and curiosity about the agency, its processes, and its clients
- A thinker, an operator, someone who can make decisions on their own.
- Great team player who represents the president and the agency with kindness and integrity
- Works quickly while maintaining quality standards
- Proactive team member and good listener, with diplomacy, flexibility, and grace under pressure
Key Responsibilities:
Administrative:
· Create daily staff newsletter and updating staff of office announcements.
· Coordinate events such as company events, parties, culture, and team building activities.
· Serve as the point of contact for property management company and related vendors.
· Manage PTO and Work from Home calendars.
· Decorate and manage birthdays and other holiday events.
· Provide low volume phone coverage and route calls to (or at time delivering) to appropriate persons
· Manage kitchen and lounge area including ordering supplies, frequent restocking, and events.
Human Resources & Training
· Help schedule interviews for job seeking candidates.
· Manage administrative onboarding procedures such as office tours, key/fob distribution, alarm codes, etc.
· Facilitate the on-boarding two-week program for new employees.
Scheduling
· Handle booking of some executive meetings
· Support president & management team in various business, operational and administrative related tasks.
· Handle MSA and NDA agreements
Technology
· Manage IT vendor on behalf of the agency.
· Set up new computers and manage computer inventory
· Manage phone systems for the agency with third party vendors.
· Manage office equipment, responsible for printer issues and related supplies.
Special Projects & Programs
· Lunch & Learn Program: Manage training components of our lunch and learn program.
· Support our fun committee to help organize culture building events.
· Handle holiday party, decorations, purchase of employee gifts, etc.
Accounting & Reporting
· Working with accounting manager, help with staff credit card reconciliation reports.
· Work with accounting to enter for AR and do other general accounting functions
· Create various reports that management team and account services team use to manage business.
Travel & Entertainment
· Handle sports and entertainment ticket allocations for the agency staff
· Book and handle all hotel and flight travel requirements for staff and interviewing candidates.

All our roles are full-time on-site roles, with two work-from-home days a month or four half days a month and we are flexible when it comes to “life emergencies” that requires additional flexibility from time to time. We are closed between Christmas and New Years.
We do offer flexible hours based on client demands and department structure and typically that means an employee may be able to start at any time between 7 AM and 9 AM and finish between 4 PM and 6 PM.
Compensation and Benefits
Elevation strives to provide some of the best agency compensation and benefit packages in the great southwest. The job is in Gilbert, AZ (just off Loop 202 expressway) and less than one mile from over 50 restaurants. Elevation pays for 95% of employee’s life, health and long-term disability insurance. Elevation offers vision, dental and a variety of other benefits that an employee can purchase. The kitchen area is full of free snacks and beverages. Tuition reimbursement is available. The salary range for this position will vary depending on experience and skills outlined above.
Salary : $50,000 - $60,000
