We are looking for a Submittal Coordinator who will facilitate and manage the construction project submittals and close-out from start to finish with precision and thoroughness, ensuring tasks are completed on schedule, with a strong team attitude to ensure a successful project outcome.

YOU ARE A MULTI-TASKER AND HIGHLY ORGANIZED. You can effectively manage multiple project tasks at a time, being pulled in multiple directions, and can prioritize urgent matters as they arise.
ESSENTIAL DUTIES MAY INCLUDE:
In the first 30 days and ongoing:
- Learn Eleven Western Builders services, processes and procedures, and business lines.
- Meet with Project Engineers and Project Managers to understand job flow and project responsibilities.
- Learn the submittal process: reviewing the specifications and plans, constructing the submittal log, requesting submittals from subcontractors, and reviewing and submitting to the architect for approval. Work closely with the project team to understand urgent submittals, deferred submittals, and other project needs.
- Learn project management software, i.e., Sage 300 and ProCore.
- Build positive working relationships with Submittal Coordinators, Project Engineers, Field Superintendents, General Superintendents, Subcontractors, Accounting team, Contract Administrator, Project Managers, and Leadership.
By the 90-day mark and ongoing:
- Begin managing project submittals, from start to finish, working closely with other Submittal Coordinators, Project Engineers, and the Project Manager, absorbing and retaining as much information as possible to manage project submittals successfully.
- Has a foundational understanding of the construction process to drive the start and close-out of a project.
- Understand how to put the submittal log together and work closely with the Project Manager, Superintendent, and Subcontractors to ensure the project submittals are on schedule.
- Work directly with subcontractors on revisions and resubmittals as necessary.
- Partner with the Project Manager, Superintendent, and Accounting team for the closeout, ensuring all the paperwork is complete to bill for final retention and submit the close-out package to the client.
- Throughout each project, proactively communicate with the project team about project updates and any issues.
Within the 6th to 9th-month mark and ongoing:
- Fully understand the project submittal and close-out process, and is overseeing the process on their own, asking questions as needed.
- Can manage difficult situations and/or urgent matters when necessary, in a respectful and professional manner.
- Problem-solve in fast-paced environments, and maintain a professional and positive attitude.
- Provide support as needed to the Project Manager and Superintendent.
- Is comfortable navigating Project Management software efficiently.
By the 12th month mark and ongoing:
- Is a fully integrated member of the team, able to consistently and proactively manage multiple project submittals and close-outs from start to finish.
- Bring project tasks to completion on schedule, troubleshooting issues with professionalism and poise.
- Exhibit a positive attitude and drive when working on all projects, simple or complex, working to deliver the best outcome for our clients.
EDUCATION, SKILLS & EXPERIENCE:
- Experience in the retail and/or fast food construction industry a plus.
- Must be able to read and understand project plans and specifications
- Knowledge of general contracting and sub-contracting process, how to construct a building, terms, methods, and scheduling
- Ability to learn how to effectively utilize Sage 300, Procore, and Business Management Software throughout each construction project
- Intermediate level working experience with computer skills working with various office equipment, computers, and various programs including MS Word, Excel, MS Project, and Outlook, and edit/markup Adobe PDFs
- High school diploma or general education degree (GED); or equivalent combination of education and experience

PAY RANGE:
$20-$28/hour
Salary : $20 - $28
