This position is specialized legal secretarial and clerical work requiring complete familiarity with legal terminology, forms, and procedures. Work is of a sensitive and confidential nature. An individual in this position is responsible for providing secretarial, clerical, and administrative services for the Domestic Violence Division. Work includes utilizing a full range of modern secretarial skills to perform secretarial duties; answering the telephone, greeting and assisting people at the office, operation of personal computers, and other office equipment. Work requires the exercise of considerable initiative, independent judgment, discretion in screening calls, visitors and mail, and answering and disposing of requests for information.

This position is eligible for a hybrid remote work/onsite schedule after a 90-day period, as outlined by existing Circuit policies and procedures.

  • Answers and directs phone calls for the Domestic Violence Division.
  • Relays messages for the Domestic Violence Division and assists with administrative duties and special projects.
  • Provides overall support to Administrative Office of the Courts (AOC) staff and judicial staff and administrative support to the Domestic Violence Division Director and Assistant Director.
  • Assists the public and court visitors/clients. Provides both community resource and court information, answers questions, answers phone calls, files and makes photocopies and disseminates various documents to court staff. Directs the public to courtrooms, offices, and departments.
  • Provides administrative and operational support to the Domestic Violence Division Drug Court and Risk Protection order calendars as needed.
  • Provides assistance with daily calendaring requests from case management.
  • Assists with the setting of cases and sending of notices for the Domestic Violence Division’s Firearms Affidavit, Civil Contempt and Civil Compliance Calendars.
  • Assists with assignments for judges and various court officials, and assists and provides the public with community resource information and court information in regards to court procedures and court cases.
  • Updates monthly data reports for statistical purposes.
  • Receives and distributes judge’s literature or court information.
  • Performs related duties as required.
  • Bachelor's degree from an accredited four-year college or university.
  • One (1) year of experience in criminal justice, psychology, sociology, public administration, legal secretarial paralegal work, or related area.
  • Experience in the court system with family/domestic violence issues or comparable agency preferred.
  • Bilingual in English/Spanish or English/Creole preferred.

Knowledge, Skills and Abilities (KSAs):

  • Working knowledge of laws, court rules, procedures, policies and legal documents pertaining to the court of assignment.
  • Knowledge of the organization, operation, function, and jurisdiction of the court of assignment.
  • Knowledge of modern office practices and procedures, and ability to operate personal computers and other standard office equipment accurately and rapidly.
  • Thorough knowledge of legal secretarial practices and procedures.
  • Knowledge of personal computer software, such as Microsoft Outlook, Word, Zoom and Excel.
  • Ability to communicate effectively in writing and orally. Knowledge of and ability to use correct English grammar, spelling, and punctuation.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations, and departmental policies and procedures.
  • Ability to accurately maintain a variety of complex records.
  • Knowledge of and ability to perform basic mathematical operations and simple statistics.
  • Ability to establish and maintain effective working relationships with the judiciary, court administration personnel, and other private and public agency staff.
  • Ability to handle sensitive matters with integrity and confidentiality, including the ability to work effectively with the public and handle individuals who are under stress with courtesy, tact and patience.

  • Moderate noise; business office setting.

Physical Demands:

  • Work involves a significant amount of standing, walking, sitting, talking, listening and reaching with hands and arms; must be able to transfer up to 10 pounds.
