This is specialized public contact and security related work providing for the physical safety of The Mediation/Arbitration Division court employees, and visitors to the Mediation/Arbitration Division in the conduct of official Mediation hearings. Employees in this class are responsible for a variety of duties in connection with the Mediation proceedings. Duties include checking in all persons scheduled for mediation as well as extensive clerical duties such as answering phone calls, scanning documents, managing payments, maintaining filing system, updating and maintaining data bases, faxing, sending emails, taking and distributing messages as well as attending to persons who come to our office with questions. Assisting with the scheduling and calendaring of county and family cases. This position works for The Mediation/Arbitration Division. Work is performed under the immediate direction of the Alternative Dispute Resolution Director.

  • Provides security for the mediators and parties in attendance.
  • Greets all parties entering the Mediation/Arbitration Division.
  • Remains alert to possible disturbances in the mediation rooms and waiting areas.
  • In the event of a disturbance, escorts persons out of the office and contacts appropriate authorities to restrain and/or arrest.
  • Provides information to, and answers questions and resolves problems from judges, attorneys, court officials, and the public.
  • Makes inquiries on the computer to obtain docket information.
  • Provides general clerical support to include front office duties.
  • Performs related work as required.
  • High school diploma or GED.
  • Experience in customer service or in a clerical role
  • Bilingual English/Spanish required. 
Knowledge, Skills and Abilities (KSAs):

  • Knowledge of established procedures for conducting mediation proceedings.
  • Knowledge of local instructions and rules of practice by mediators.
  • Some knowledge of established procedures in the flow of official business between the judiciary and mediation.
  • Some knowledge of the use of legal instruments and records pertinent to the Mediation Division.
  • Knowledge of modern office practices, procedures, equipment, and systems.
  • Knowledge of personal computer application software such as Microsoft Word, Excel, and Outlook.
  • Ability to establish rapport with judges, general magistrates, hearing officers, law enforcement personnel, and employees of the court system and the Clerk of the Courts.
  • Ability to deal with witnesses, attorneys and the general public with necessary tact and courtesy.
  • Ability to organize work, establish priorities, and meet deadlines.
  • Ability to use independent judgment and discretion concerning confidential information.
  • Ability to remain alert and observant with attention to necessary detail during mediation hearings and respective waiting areas.
  • Ability to maintain composure in the event of disturbances and to immediately address such disturbances effectively and in accordance to established protocol.
  • Ability to react quickly in following mediators’ directives in emergencies which may arise during mediation sessions.
  • Ability to follow all established procedures previous to, during and following the conclusion of mediation sessions.
  • Ability to use independent judgment and discretion concerning confidential information.
  • Willingness to follow requirements of official conduct as a representative of the court system.

Physical Demands:

  • Work involves a significant amount of standing, walking, sitting, talking, listening, balancing, stooping, and reaching with hands and arms; must be able to transfer up to 25 pounds.
