Job Summary
We are seeking a reliable, detail-oriented, and experienced Office Administrator to help manage the daily operations of our electrical contracting office. In this role, you’ll serve as a key point of contact for our customers, coordinate service calls, and provide vital support to both our field and office staff—helping ensure everything runs smoothly and efficiently.
Key Responsibilities
- Answer phone calls and emails professionally
- Gather accurate details from customers for service calls and quote requests
- Schedule and direct electricians to job sites
- Prepare service work orders
- Process time and material invoices in QuickBooks
- Prepare and submit permit applications, including Notice of Commencement
- Schedule inspections with local municipalities
- Order office supplies
- Collect and process employee timecards; enter in QuickBooks
- Perform data entry tasks and assist the bookkeeper as needed
- Process customer credit card payments
- Assist with posting customer payments
- Assist with job costing and budget tracking for time and material jobs
- Help with process contractor registrations for state and local municipalities
- Provide general administrative support to the management team
- Maintain a clean, organized and efficient office environment
Requirements
- Proven experience in an office administration role (experience in construction or electrical contracting is a plus)
- Strong attention to detail and organizational skills
- Excellent written and verbal communication
- Proficient in Microsoft Office Suite (Excel, Word)
- Working knowledge of QuickBooks
- Self-starter with the ability to work independently and prioritize tasks
- Exceptional customer service skills with a friendly and professional demeanor
- Experience in proofreading documents for clarity, accuracy and completeness
- Ability to manage confidential information with discretion and professionalism
- Experience with permit processing and contractor licensing (Preferred)
