Job Summary:

Coordinates projects and activities for the Board of Directors and the Executive Director. This includes preparing reports, scheduling meetings, preparing agendas, posting notices, taking minutes, and distributing information. Serves as the liaison between the Board and the organization.

Supervisory Responsibility: No

This position has no supervisory responsibilities.

Essential Job Functions Include:

  • Working with the Executive Director and the Board President to plan for board meetings, committee meetings, and ad hoc meetings that may occur.
  • Preparing and distributing agendas and all supporting documents for meetings and posting all information as required.
  • Performing research as needed on the variety of topics under Board consideration.
  • Maintaining board rosters, lists, term information, memberships, ethics documents, and board applications.
  • Maintaining the board portal on the website.
  • Scheduling facility tours.
  • Preparing information packets.
  • Ordering supplies for the administrative staff.
  • Providing any necessary administrative and development support to the office of the Executive Director to ensure smooth operations.

Qualifications - Knowledge/Skills/Abilities include:

  • Previous experience in an administrative support role.
  • Previous nonprofit development experience preferred.
  • Ability to work collaboratively and cross-functionally.
  • Strong organizational skills.
  • Highly sensitive to working with confidential information.
  • Ability to maintain high levels of discretion.
  • Strong written and verbal communications skills.
  • Excellent attention to detail.
  • Experience managing multiple priorities.

Work Environment:

The physical work environments may have extreme heat or cold, loud noise levels.

Physical Demands: This role requires sitting, standing, walking, lifting, carrying, reaching, pushing, pulling, repetitious computer and phone, and talking to people, weight minimum, etc.

  • frequently required to stand, walk, sit, lift, carry, push, turn, twist, reach.
  • Must be able to lift a minimum of 15 pounds.

Travel: Minimal– Less than 5% travel.

Required Education and Experience: education and experience based on requirements that are job-related and consistent with business necessity.

  • Minimum level of education required – Bachelor’s degree in accounting, communication, nonprofit management or a related field.
  • Minimum years of experience required – Two- five years of increasing administrative responsibility.
  • Proficiency in Microsoft Office Suite required.
  • Proficiency in CRM.

Preferred Education and Experience: preferred education and experience based on requirements that are job-related and consistent with business necessity.

  • Preferred level of education required – Bachelor’s degree
  • Preferred years of experience required – Five or more years
  • Preferred knowledge of programs and services for individuals with disabilities.
  • Preferred experience in nonprofit organizations.

Additional Eligibility Qualifications: Must pass an extensive background check.

  • Must be in compliance with drug testing requirements.
  • Reliable transportation is required.
  • Licensure requirements- Must meet minimum licensure annual training requirements.
    • This role includes licensure requirements for Administrators, Health & Safety and HIPPA training.

Other Duties: As required to fulfill the ERC mission.
