Job Summary:
The Office Coordinator fosters a secure and positive environment that nurtures the client’s self-expression, needs, and goals. Assists the Residential Services Director by performing daily clerical, medical records, and dietary coordinator functions in accordance with current Federal, State, and Elizabeth Richardson Policies, Procedures, Protocols, and Guidelines.
Supervisory Responsibility: NONE
Essential Job Functions include:
- Answers phones and relays messages.
- Distributes correspondence from department/programs to staff.
- Maintains valid driver’s license and retains eligible status on driver’s list.
- Receives and forwards employment applications to the hiring supervisor.
- Schedule interviews and conducts OLTC Clearance Registry search and reference checks.
- Assists with the interview process and tour of the program.
- Prepares new hire PAF, job descriptions, and training sheets obtains copies of the necessary documentation for new hire orientation, and forwards to HR, including OLTC Clearance Registry.
- May be required to drive company vehicles for errands, or client care.
- Schedules, coordinates, and transports all client appointments in accordance with OLTC regulations and physician recommendations.
- Ensure all required medical assessments are continuously in compliance with OLTC regulations.
- Schedules appointments for acute care issues when instructed by the nurse.
- Communicates professionally and effectively with external contacts and coworkers to coordinate care.
- Reviews Monthly Audits provided by Human Resource Department to ascertain missing or expired personnel file information per licensure or ERC policy and procedure requirements.
Qualifications - Knowledge/Skills/Abilities include:
- Knowledgeable of HIPPA regulations.
- Ability to communicate effectively with consumers, families, staff, and external contacts.
- Ability to complete written documentation.
Work Environment:
- The work environment is consistent with a typical office setting
- Standard office setting with the job requiring long periods of sitting in front of a computer.
- May occasionally experience moderate noise levels.
- The ICF is a homelike setting - Indoors with some exposure to different weather elements as there a will be need to move about the different service locations.
Physical Demands: This role requires sitting, standing, walking, lifting, carrying, reaching, pushing, pulling, repetitious computer and phone computer, and talking to people. Lifting requirements of 50 lbs. on occasion.
Travel: 50% local travel excepted for this position.
Required Education and Experience:
- Minimum level of education required – High School Diploma, GED, or equivalent
- Minimum years of experience required – Two years of related experience
- Proficiency in Microsoft Office Suite required.
Preferred Education and Experience:
- Preferred level of education required – Trade School or Bachelor’s degree in a related field.
- Preferred years of experience required – Three or more years of related experience.
- Preferred knowledge of programs and services for individuals with disabilities.
- Preferred experience working with nonprofit organizations.
- Previous work with state licensures and related annual audits a plus.
Additional Eligibility qualifications:
- Must pass an extensive background check.
- Must comply with drug testing requirements.
- Reliable transportation is required.
- If you are a van driver for ERC, you must have a valid Arkansas driver’s license, meet safe driver’s requirements and be 25 years of age.

Licensure requirements- Must meet minimum licensure annual training requirements.
- This role includes licensure requirements for Administrators, Health & Safety, and HIPPA training.
- Be certified to perform CPR and first aid within 30 days of employment.
- This position requires ERC drivers training prior to driving a company vehicle.
