POSITION TITLE: Administrative Assistant – High School Counseling Office
STATUS: Full-Time 12-month

MINIMUM PAY RATE: $18.07/hour
General Responsibilities/Job Summary:
Provides administrative and clerical support for all functions of the School Counseling Department. Acts as the primary customer service contact for students, teachers, administrators and visitors to the Counseling Office.
Essential Functions/Duties:
- Act as department receptionist, meeting and greeting students and other visitors
- Work with school counselors and students to schedule appointments
- Fulfill transcript requests for former and current students
- Assist school counselors in preparation and review of student grades and report cards
- Provide support in the development of Educational Program materials
- Maintain student records including enrollments, withdrawals and cumulative folders
- Manage the registration process for testing offered in the high school
- Assist school counselors and students in the course selection process, ensuring that all required paperwork is completed
- Assist counselors with CTC application organization
- Support the student scheduling process
- Assist with/issue working permits as needed
- Coordinate college recruiter visits
- Coordinate space and schedule for outside student supports
- Complete required paperwork for homebound instruction for the District
- Support Program Administrator for Educational Alternatives with LLVS registration and records
- Complete K-12 reports for homeless students, alternative education, English as a Second Language (ESL), migrant students, Student Assistance Program (SAP), School Violence Report, and Graduation/Dropout report
- Verifications of Graduation for employers, military, etc.
- Coordinate Homebound Instructors as needed
- Coordinate with Administrative Assistant to the High School Principal on additional office tasks
- Assist with Senior scholarship program and tracking
Additional Duties:
- Perform other related duties as assigned by supervisor(s)
Knowledge, Skills and Abilities:
- Maintains confidentiality in all aspects of work and in working relations with students and staff
- Able to work independently and as a member of a team
- Ability to develop and maintain relationships with a variety of people including students, parents, administrators and community members
- Considerable knowledge of office principles and practices in the educational environment
- Ability to use standard office equipment
- Ability to communicate clearly and concisely in both oral and written format
- Technology skills including the use of Google Suite, Adobe, Sapphire Student Information System, and any other district software
- Ability to understand and utilize student information system (Sapphire)
- Ability to multi-task and complete time-sensitive projects in an environment with frequent interruptions
- Records retention and maintenance skills
- Attend work regularly and on time and complete assigned tasks
Minimum Qualifications:
- Education and Training: High School Diploma or GED preferred
- Experience: Entry Level
- Required Certification/Licenses: None
- Travel Requirements: Limited travel within the District and in Lancaster County for meetings
Physical and Mental Job Requirements:
- Ability to perform basic math skills
- Typically sits for sustained periods of time at a desk and/or computer
- Typically requires close visual acuity involved with preparing and analyzing data, viewing a computer screen and extensive reading
- Occasional bending, crouching, stooping, twisting, reaching and grasping
- Some lifting, up to 25 pounds
- Manual dexterity and repetitive movement of fingers and hands for keyboarding
- Able to receive and deliver detailed information through written and oral communications
- Able to function at a high level in a fast-paced work environment
Working Conditions:
- School setting, including offices, hallways, cafeteria and school grounds
Terms of Employment:
- Twelve month, 260 days, Full-Time Position
