The primary purpose of this position is to manage administrative duties supporting remote, hybrid, and on-site Managing Directors; System administrator for multiple data management systems including Eventbrite & Salesforce. Create and implement training tutorials & in-person training sessions for office staff in Salesforce & Outlook mail merge systems. Organize and execute the Center’s calendar of events & monthly meetings. Provides administrative support to the Executive Director and Senior Managing Director in planning, organizing, and coordinating projects and activities associated with this office; assist and act as backup for the Finance and Events Coordinator. This is an on-site position with potential for remote work after 90days.

Job Duties
ESSENTIAL FUNCTIONS
- Oversee office operations.
- System Administrator for Salesforce Responsible for coordinating training all staff in Salesforce.com and the supervision of tracking data input.
- System Administrator for Microsoft Forms, which is used for best practice surveys, exit planning surveys, and event wrap up surveys.
- Process and manage the Best Practice and Exit Planning surveys monthly; preparing survey results and creating reports for the Directors
- System Administrator for IbisWorld.com and Salary.com. Manage and process Ibis World report requests, as well as pull Comp Analyst reports from Salary.com for our members and sponsors, on an “as needed” basis.
- Manage the coordination of any materials for High Center publications, e.g., brochures, marketing materials, manuals, educational materials, prospect packets, etc.
- Conduct background research as necessary to complete assigned projects and reports; complete questionnaires and surveys from external sources as requested.
- Provide administrative support to the Senior Managing Director
- Organize, set up, and tear down peer group meeting rooms; greet members upon arrival.
- Organize peer group food and beverage supplies for meetings in kitchen area.
- Coordinate and schedule campus and off-site events
- Work with Finance and Events Coordinator with invitations for leadership breakfast seminars; track event attendance. Maintain materials related to the leadership breakfast seminars.
- Assist with registration table at all in-person leadership seminars, forums and On The Road events
- Maintain and track office supplies;
- Receive and screen incoming calls; welcome guests; respond to routine telephone inquiries, and route general operation calls to the appropriate department;
Provide administrative support to the Executive Director in the following areas:
- Support the work of the Executive Director with members of the college faculty, staff, and act as one of the liaisons with the Office of Institutional Advancement regarding donor records.
- Assist the Executive Director in preparing materials for the Advisory Board (bi-yearly) and Sponsor/Outside Director (bi-yearly) meetings. Providing administrative support to the Executive Director; format and distribute memoranda, letters, and reports; maintain personnel, committee, and general files; arrange mailings; prepare and distribute meeting agendas.
- Support additional managing directors in all regions with scheduling weekly/monthly meetings, questions regarding data management systems and technology issues.
Required Qualifications
High school diploma is required; plus ten years of office, organizational and customer relations experience is required; proficient with Microsoft Office suite, including high level skill with mail merge feature, preferred experience in Salesforce and Eventbrite, MailChimp, social media platforms (ie; LinkedIn and Facebook) and website design (ie; WordPress).
