Under the direction of the District Judge of Department 1 of the Fourth Judicial District Court, the Guardianship Compliance Specialist/Judicial Secretary performs highly confidential guardianship case management in the District Court.  The specialist ensures compliance with statutory time lines, assesses and determines the needs of parties, monitors reporting requirements, prepares correspondence and court orders, and performs other work-related duties as needed.Included, but not limited to the following: 
  • Maintains and updates the court calendar(outlook) and odyssey with scheduling hearings for guardianship cases and family cases.
  • Monitors guardianship cases to determine compliance with the law and court orders; tracks and records court hearing dates and times for all guardianship cases and attends guardianship hearings if needed; prepares all guardianship orders.
  • Process emergency ex-parte documents as to guardianships such as scheduling hearingswithin10-day timeframe and drafting order(s) if needed.
  • Serves as a knowledgeable resource for guardianship information regarding court policies, procedures, objectives, and operational functions; responds to inquiries personally and by other means of communication; resolves complaints; refers those making inquiries to appropriate source(s) as necessary; prepares or a land written reports to the court.
  • Reviews petitions and other court documents, including accountings and Reports of Guardian of the protected person, to ensure compliance with the law including statutory time frames. 
  • Monitors the movement of guardianship cases from point of initiation to termination; coordinates, links, and tracks all related court cases.
  • Greet those arriving at the office and attempt to provide them with the requested service and/or answer questions without offering legal advice, and as necessary, re-directing them to the appropriate department or person.
  • Politely and professionally, answer the telephone. Screen the calls before re-routing to the appropriate recipient.  Take clear, concise, and accurate telephone messages.
  • Make daily "court runs" between the office and the Courts filing office for the purpose of filing documents, retrieving files, etc.
  • Perform miscellaneous tasks including copying, filing, mailing, faxing, scanning.
  • Maintain composure while dealing with sometimes upset public.
  • Assigned job tasks/duties, not limited to the essential functions.
  • Proofread documents/orders.
  • Prepare a script for all guardianship and family case files for upcoming court hearings.
  • Accurately and timely prepare orders from court hearings, and as necessary and requested.
  • Assist the Department1 Staff Attorney with probate cases; email all probate cases for her review.
  • Schedule uncontested probate hearings.
  • Contact attorneys to inquire about the status of probate cases for the Department1 Staff Attorney.
Knowledge of: 
  • Working knowledge of the English language including spelling, grammar, punctuation, vocabulary, and formats.
  • Working knowledge of computer hardware and software including word processing, spreadsheets, and databases for the purposes of creating, editing, and distributing information.
  • Basic knowledge of the Nevada state court system and the way cases proceed through the system. 
  • Basic knowledge of Nevada Revised Statutes, Elko County Code, and Elko City Code as they pertain to the Court. 
  • Basic knowledge of the roles and responsibilities of outside agencies with whom the Court frequently interacts, such as the Elko County Sheriff’s Department, Nevada Highway Patrol, Elko Police Department, Elko City Attorney’s office, and Elko County District Attorney’s and Public Defender’s offices.  
  • Policies, procedures, and regulations related to court operations.
  • Fourth Judicial District Court Rules of Practice.
  • Local Rules of Practice for the Rural Justice Courts in the State of Nevada.
Skills & Abilities:
  • Read and understand criminal and civil complaints, statutes and codes, letters, legal documents, and legal terminology.
  • Ability to read and write simple and complex instructions, correspondence, memos, court orders, Judgment of Convictions
  • Ability to work well as a team member
  • Accurately type at a net rate of no less than 40 words per minute.
  • Understand and complete complex clerical work, as well as carry out various other work processes to ensure the effective and efficient operation of the court.
  • Communicate clearly both in writing and verbally, in a tactful and courteous manner with defendants, co-workers, and the public in all situations.
  • Maintain confidentiality & work independently while demonstrating initiative and making sound judgments.
  • Comply with the Model Code of Conduct for Court Professionals in the State of Nevada.
  • Ability to act accordingly with people that are upset, distraught and emotional.
  • Using initiative and independent judgment within established procedural guidelines.
  • Work is primarily performed in an office setting. 
  • Hand-eye coordination is necessary to operate computers and various pieces of office equipment.
  • While performing the duties of this job, the employee is frequently required to talk or hear, sit, use hands to finger, handle, feel or operate objects or controls, and reach with hands and arms. 
  • The employee will be expected to be able to transport numerous amounts of files back and forth between chambers.
  • Ability to appropriately handle stress and interact with others, including supervisors, coworkers, clients, and customers
  • The employee must occasionally lift and move up to 50 pounds. 
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
  • Regular and consistent punctuality and attendance.
  • The noise level in the work environment is usually quiet.
