Position Overview:
We are seeking an experienced Full-Time Client Care Coordinator to join our Med Spa team. The ideal candidate will have prior experience in customer service and client coordination, preferably in a medical spa setting. This position is vital in ensuring that our clients have an exceptional experience from the moment they walk through our doors. You will be the face of the spa, managing appointments, handling client inquiries, and maintaining a smooth flow of daily operations.
Key Responsibilities:
- Client Relations: Greet clients, provide exceptional customer service, and build lasting relationships. Address client inquiries and concerns both in-person and over the phone or email.
- Scheduling & Appointments: Manage and coordinate appointments, ensuring accurate scheduling and efficient time management for clients and providers.
- Billing & Payments: Assist clients with billing inquiries, process payments, and ensure proper handling of insurance and payment options.
- Front Desk Operations: Maintain a welcoming and organized front desk environment. Ensure that client intake forms, consent forms, and any necessary documentation are completed correctly.
- Product Knowledge: Stay up-to-date on services, promotions, and products offered by the Med Spa to provide accurate information and recommendations to clients.
- Administrative Support: Assist with administrative tasks including client record management, filing, and maintaining accurate client notes and profiles.
- Sales & Marketing: Upsell services and products in line with the needs of clients and company goals. Help promote special offers, membership programs, and seasonal packages.
Qualifications:
- Experience: Minimum of 2 years of experience in a client-facing role, preferably within a Med Spa, medical office, or beauty industry.
- Skills: Excellent communication and interpersonal skills. Highly organized with attention to detail and multitasking abilities.
- Technical Proficiency: Experience with booking software, Microsoft Office, and basic office equipment. Familiarity with Med Spa or medical software systems is a plus.
- Personality: Professional, personable, and empathetic with a passion for client satisfaction and wellness.
- Flexibility: Ability to work evenings and weekends as needed.
