What are the responsibilities and job description for the Medical Assistant position at Ellicott City Primary Care LLC?
We are looking for certified or registered medical assistants willing to learn enhanced skills and prepared to succeed in an environment with greater responsibility and accountability for patient care. We are looking for highly motivated individuals to fulfill the job responsibilities. The MA performs duties under the supervision of a Clinical Provider (MD, DO, NP, PA) and/or Registered Nurse (RN). The MA is responsible for providing direct patient care and health education; obtaining and documenting patient medical data; and performing minor, non-invasive tasks and procedures. The MA will maintain clean, appropriately stocked exam rooms and workspaces. He/she will proactively prepare for procedures and exams for the clinical providers.
MA will assist with insurance and procedure prior authorizations. Each MA supports a clinical provider in a fast-paced (18-22 patients per day) primary care practice.
Duties include:
Prepare exam room based on visit type.
- Clean all surfaces in exam room
- Refresh exam table paper
- Ensure supplies are in place for specific visit type
Stock exam rooms fully at the end of each clinic work day
Greet and room patients.
- Review problem list
- Document past medical and surgical history, as well as hospitalizations
- Conduct medication reconciliation
- Assess for allergies
- Set visit agenda and expectations
- Preview preventative health maintenance and preventive care
Record demographics and emergency contacts (relatives names, material status, year of birth, sexual orientation/gender identify, and medical history of relatives)
Assess tobacco use/smoking, drug use, and alcohol use.
Conduct depression and anxiety screening (PHQ-2, 4, 9) and Alcohol Screen (Audit-C)
Obtain reliable vital sign (BP, pulse, respirations, blood oxygen, temperature, pain, LMP for females) measurements.
Record accurate weight and height at every visit.
Administer and document vaccines and therapeutic injections.
Carry out clinical provider orders.
- ONLY AFTER the provider has put the order into the patient chart.
Carry out standing provider orders:
- Fingerstick blood glucose for diabetic patients on insulin and as ordered by provider
- Ear irrigation as indicated and ordered by provider
- Incentive spirometry/peak flow as indicated and ordered by provider
- EKGs for physicals and as ordered by provider
Perform selective tests and procedures:
- Visual acuity screening
- Urinalysis (dipstick)
- Incentive spirometry
- EKG
- Throat culture, including rapid Strep
- Point-of-care (POC) rapid testing (blood glucose, influenza)
Document (accurately and completely) all activities in electronic medical record (Athena).
Provide the patient with plan of care instructions at completion of visit, ask the patient if they have any questions and, if necessary, refer to the provider.
Participate in morning huddle and lunch time office meetings when scheduled.
Conduct pre-visit planning huddle with provider to prepare for next day (at provider discretion).
- Determine provider needs for each visit (supplies, labels, testing) and prepare rooms accordingly.
Respond to telephone encounters in EMR promptly.
Prepare medication refill requests for the provider, verifying pharmacy, medication details, and frequency of follow-up needed before routing to provider
- Address straightforward patient messages, or route to appropriate provider when clinical concerns are raised
- Check the Team, Clinical inbox every two hours
- Relay normal test results to patient per provider
Obtain and scan/upload patient documents into chart:
- EKGs
- External test results
- Prior authorization approvals/denials/letters
- Patient paperwork (FMLA forms, DMV forms, letters, etc.)
- Medical records
Communicate with external providers as needed to coordinate patient care.
Initiate and follow up on medication Prior Authorizations.
Referral Tracking
Conduct and participate in referral tracking as instructed, including entry of Lab, Medication, PT, and referrals into the EMR system.
Check medication refrigerator and vaccine refrigerator/freezer temperature every morning and every evening; record temps in log.
Formalize and adhere to facility policies:
- Assure facility standards of care, policies and procedures are met for all patients.
- Adhere to Infection prevention and control requirements, including appropriate hand hygiene.
- Notify Practice Manager or provider of any unusual occurrence, error, or safety issues.
- Complete annual competencies within the time frame identified by the practice or Privia.
- Attend staff education offered by the organization when necessary
Identify need for and assists in performance improvement initiatives and special projects.
Communicate with direct supervisor during scheduled meetings about what is working well, and any concerns. coordinate proactively to develop a solution.
Demonstrate high level of professionalism

Skills and Qualifications:
- Arrive at work on time, prior to office opening at 7:30AM and share office space with another co-worker.
- Receive all recommended vaccines in a health care setting.
- Role requires in-person work only. This is not a remote work position.
- Certified/Registered Medical Assistant.
- Minimum of two years’ experience preferred. Exceptional new graduates with strong references may be considered.
- Experience with Athena is strongly preferred.
- Promotes a positive teamwork environment.

- Experience in appointment scheduling, medical paperwork and supply management.
- Ability to multi-task.
