What are the responsibilities and job description for the Supervisor Operations position at Ellis Medicine?
The Supervisor Operations will function as a fully “Working Supervisor” who will not only oversee, but also assume clerical coordinator duties, scheduling coordinator duties, case manager duties and/or Medical Assistance duties, within their scope of practice, as needed. The Supervisor Operations is responsible for the oversight of daily business activities of the practice. The Supervisor Operations will assume other duties as delegated by the Practice Administrator or Practice Manager.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- Education: High school graduate or equivalent.
- Experience: 3 years related experience in healthcare office setting or other applicable office Practice Experience.
- Skills: Ability to multitask. Must be exceptionally organized and possess the strong ability to prioritize tasks.
- Certifications: Certified Medical Assistance for those areas utilizing this position in that role
PRIMARY RESPONSIBILITIES OF THE POSITION:
- Able to perform all clerical coordinator duties, case coordinator, scheduling coordinator and medical assistant duties as they apply to the day-to-day operations.
- Cover any gaps in staffing as needed, up to and including filling in themselves.
- Answering of multiple phone lines
- Maintain daily schedule of patients and providers
- Ability to manage the front desk and the duties for checking in and out of patients
- Cash reconciliation at end of day
- Responsible ordering of office and medical supplies.
- Instrumental in assuring positive staff efforts in improved customer service and patient satisfaction, assist with trouble shooting patient concerns in a timely manner.
- EMG Quality Management set clear and measurable goals for ALL staff to address, document and manage quality metrics.
- Provide direction to clerical staff, managing daily activity of engagement from all staff including Providers, Clinical and Clerical Support Staff.
- Maintaining of TJC standards within the practice via weekly rounds.
- Instrumental in supporting clinical and administrative operations of the practice.
- Assisting with preparation of yearly evaluations.
- Assisting with the discipline of employees.
- Assisting with the onboarding and orientation of new employees.
- Assisting with the implementation of new programs such as EMR and becoming a Superuser of these programs.
- All other duties and activities as assigned by the Practice Leader.
PHYSICAL REQUIREMENTS:
- Should be able to push/pull, lift/move 15 lb., be able to perform moderately difficult manual manipulations such as using a keyboard, writing, and filing for extended periods of time, must be able to perform tasks which require hand-eye coordination such as data entry, typing and using photo copiers. Mobility requirements may include the ability to be stationary at a workstation for a prolonged period time in addition to being able to squat or be mobile for a reasonable length of time and distance. Communication requirements include the ability to comprehend the spoken English language in addition to being able to communicate and read the English language.

Salary Range: $17.46-25.32 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
