Position Overview:
We are seeking a highly organized and customer-focused Customer Service Representative/Dispatcher to join our team. In this dual-role position, you will be responsible for ensuring the efficient coordination of shipments while providing excellent service to our customers. The ideal candidate will have strong communication skills, a background in logistics or transportation, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
Customer Service:
- Act as the primary point of contact for customers, responding to inquiries, providing updates on shipment status, and addressing any concerns or issues.
- Maintain positive and professional relationships with customers, ensuring satisfaction and prompt resolution of any issues or discrepancies.
- Process customer orders, track shipments, and assist in providing quotes or service options.
Dispatching & Coordination:
- Schedule and dispatch drivers, ensuring timely delivery and pickup of containers in line with customer requirements.
- Monitor and track shipments throughout the day, making adjustments to routes or schedules as needed to ensure on-time performance.
- Coordinate between customers, drivers, and other logistics personnel to resolve any operational challenges and ensure smooth operations.
Documentation & Reporting:
- Ensure accurate and timely data entry of customer information, shipment status, and dispatch details into the company’s management systems.
- Generate reports as needed, such as daily operational updates, shipment logs, and performance metrics.
- Maintain proper documentation for all shipments, including required paperwork, invoices, and service receipts.
Problem Solving:
- Identify and troubleshoot operational issues related to shipments, delays, or customer concerns and take the necessary actions to resolve them.
- Escalate complex issues to higher-level management as needed, ensuring quick resolution to minimize service disruptions.
Collaboration:
- Work closely with operations, warehouse staff, drivers, and management teams to ensure seamless coordination of transportation activities.
- Participate in team meetings to discuss operational efficiency, challenges, and continuous improvement efforts.
Qualifications:
- Proven experience in a customer service or dispatching role, preferably within logistics, drayage, or intermodal transportation.
- Strong communication skills (both verbal and written), with the ability to interact professionally with customers and team members.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Detail-oriented, organized, and proficient in using logistics software, spreadsheets, and other office tools.
- Knowledge of the intermodal and drayage industry, or a willingness to learn quickly.
- Problem-solving skills with the ability to think critically and make decisions under pressure.
- A strong sense of urgency and commitment to meeting deadlines and customer expectations.
Preferred Qualifications:
- Previous experience with dispatching software or transportation management systems (TMS).
- Familiarity with shipping documentation and compliance regulations in the transportation industry.
