About The Job
The Client Relations Coordinator reports to the Head of Private Events Sponsorship. This role will be responsible for driving VIP package sales, managing client relationships, and ensuring an exceptional experience for our most valued guests. This role focuses on handling VIP party package inquiries, coordinating sales, and delivering seamless, high-touch service that exceeds expectations. Additionally, the Coordinator will serve as the primary point of contact for our membership program, as well as assist in communicating with corporate sponsorship and private event clients, fostering long-term relationships and repeat business.
In addition to sales and client relations, this role will provide administrative support for private events and sponsorships, assisting with contracts, invoicing, scheduling, and logistical coordination to ensure smooth execution. The ideal candidate will be detail-oriented, organized, and proactive in streamlining processes and enhancing the overall client experience.

About The Job

- VIP Sales & Client Relations
- Drive VIP package sales by proactively engaging with potential clients, responding promptly to inquiries, and providing comprehensive details on offerings, availability, and pricing.
- Coordinate and facilitate the sale and seamless execution of VIP party packages, ensuring all client and venue needs are met by working closely with the Venue Operations team.
- Play a pivotal role in the growth and development of Elsewhere’s VIP program, identifying new opportunities to enhance offerings and drive revenue.
- Build and maintain strong relationships with VIP clients, providing exceptional service and personalized experiences that encourage repeat business.
- Work closely with the Head of Private Events & Sponsorships to develop and execute strategies that meet and exceed VIP package revenue targets.
- Maintain an up-to-date database of VIP clients, tracking engagement, preferences, and sales history to optimize future outreach and retention efforts.
- Private Events & Sponsorship Support
- Provide administrative support for private events and sponsorships, assisting with vendor outreach, invoicing, scheduling, and logistical coordination.
- Support the Private Events & Sponsorship team with client-focused projects and initiatives that enhance event execution and client satisfaction.
- Assist in brand partnership outreach and networking for potential event perks and collaborations that align with the VIP experience.
- Maintain all CRM databases
- Develop marketing newsletters and client outreach initiatives
- On the ground support for private events and sponsorship activations as needed
- Guest & Membership Experience
- Serve as the primary point of contact for all Guest, Member and VIP inquiries, addressing questions or concerns and providing solutions to enhance customer satisfaction.
- Answer all guest complaints, questions, and requests with a friendly, can-do attitude to help ensure everyone has a great experience.
- Assist in the development and execution of strategies to grow the Membership program and meet revenue goals.
- Plan and execute all onsite member events membership perk opportunities
- Coordinate with the box office to manage VIP ticketing needs, including ticket exchanges, credits, and refunds, ensuring a seamless experience.
- Gather feedback from Members and VIP clients to continuously improve the customer experience, enhancing engagement and retention strategies.
- Manage and optimize Membership tiers in Eventbrite & Join It, ensuring smooth integration with ticketing operations.
- Collaborate with Venue Operations, Programming, and Marketing teams to strategically adjust Membership ticket inventory based on demand and client needs.
- Analyze Membership engagement and ticket utilization, making data-driven adjustments to enhance value and retention.
- Bring 2 years of experience in client relations, customer service, sales, or event coordination.
- Have strong communication and interpersonal skills, with a customer-first mindset.
- Are highly organized, detail-oriented, and able to manage multiple clients and projects at once.
- Feel confident using digital tools like Google Workspace, HubSpot, Mailchimp, and Zendesk.
- Are familiar with Discord and other community platforms, and passionate about creating inclusive, engaging spaces.
- Thrive in dynamic environments and are quick to learn and adapt.
- Have availability Monday–Friday, with occasional weekend flexibility.
- Bring hospitality or event industry experience (a plus, but not required).
