Serves as Worldwide U.S. Site Director for specific locations throughout the United States. The Site Director is responsible for both the Academic and Operational tasks of the Worldwide site including academic advising, budget, compliance, facility oversight, and University support (to include community relations). Works cooperatively with constituents from other departments and represents Worldwide Site Management as a leader. Coordinates with the Executive Director and Senior Director for Worldwide Site Management in determining yearly and monthly budgets, engagement and outreach activities in the community, routine compliance reviews, and University support. Works with Worldwide Advising leadership in the execution of academic policy and program changes for awareness.

Advisement & Student Services
- Counsel students on degree curriculums, regulations, requirements, policy & procedures. Develop personalized degree plans and counsel students on timely progression/completion. Proactively contact students during course registration for assistance and progress
- Monitor and track students during each academic term and make recommendations for subsequent terms. Integral involvement with student retention and outreach efforts.
- Responsible for advising and assessing student requests for dropping courses, academic and curriculum waivers, changes of program, declaration of minors, change of catalog, request for update of official advising reports, application for graduation, and approval to take courses at another institution. Has decision making responsibilities for academic and curriculum waivers and student and instructor issues.
- Counsel students regarding financial aid, tuition assistance, industry reimbursements, tuition payments plan, and Veteran Affairs benefits options to prepare for tuition payment and course registration planning.
- Provide personalized advising for all assigned students including those on conditional admission, academic warning, and probation. Create student success plans for all conditionally-admitted students and students with academic deficiencies.
- Provide information on scholarship opportunities, institutional aid initiatives, Honor Society, alumni affinity groups, career services, and other organizations.
- Promote opportunities for engagement with worldwide student government association, eUnion, faculty mentoring, and other student service programs within the University.
- Work collaboratively with faculty to address any student challenges towards course completion and retention and persistence
- Assist students with course textbook and assist with any issues related to required course materials.
- Assist students with navigating ERNIE, campus solutions, canvas, eUnion, another university platforms as needed.
Student Communication
- Responsible for proactively contacting students at critical times (admission, next term enrollment, institutional & Federal financial aid, and students at risk for attrition towards course progression).
- Business professional attire and approved background for virtual appointments is required.
- Accountable for contacting all students at the time of admission (welcoming & reviewing degree plan). Discussing next steps toward matriculation (including funding, prerequisites, student orientation, and Campus Solutions to-do lists).
- Responsible for contacting all enrolled students through various means of communication (phone, e-mail, etc) each term of enrollment to determine how courses are progressing, answer questions, and assist with any challenges towards course completion and future course progression as needed.
- Responsible for proactively contacting students at risk for attrition towards course progression.
- Contact students at time of graduation through various means of communication (phone, e-mail, etc)-to congratulate them, review commencement opportunities, and promote alumni engagement.
- Responsible for communicating with students through various means of communication (phone, e-mail, etc)at all opportunities to provide a high level of customer service.
Management of Student Records
- Responsible for entering and maintaining accurate information in Campus Solutions, imaging, Salesforce, SharePoint, and other university platforms as applicable.
- Required to document student records by leaving detailed advisor notes regarding conversations and student status.
- Responsible for reconciling and resolving individual student enrollment and academic issues.
- Evaluates student’s prerequisite knowledge. Ensures students enroll and meet curriculum requirements.
- Accountable for maintenance of assigned student files.
- Accountable for student matriculations in registrations and meeting individual advisor registration targets.
- Responsible for assisting team members with coverage of student files when advisors are on extended personal leave.
Site University Support
- (HR) Responsible to meet with Senior Directors routinely on their performance and status of objectives.
- (HR) Coordinates with appropriate Associate Director for Student Success Operations COAS and Senior Director for Site Management to ensure student and facility coverage is maintained whilst on Personal Leave (as appropriate).
- (GR) Supports all graduation activities as directed by the Executive Director & Senior Director, Site Management.
- (EM) Collaborates with Senior Director for Site Management in setting his/her site enrollment goals and strategies.
- (EM) Coordinates with Senior Director and Enrollment Management for approval for attending local events by Site Director to establish community contacts, promote ERAU programs, and submit RFI and applications for new students.
- (BD) Research and capture non-credit revenue opportunities for recommendations to the Office of Professional Education and Business Development.
Site Facility Support
- Works with Senior Director to liaise with appropriate governmental authorities, industry, and community leaders, and Worldwide Headquarter departments to ensure compliance with applicable laws and regulations
- Works with Senior Director to coordinate with State Authorization on all opening, closing, and moving of site locations.
- Works with Senior Director to coordinate with Landlord, ESO (as applicable), and Legal Department on any damage to the facility.
- Works with Senior Director to coordinate with Information Technology Department on enhancements, downgrading, installation of IT requirements for the site locations and/or classroom.
- Works with Senior Director to coordinate on all potential natural disaster impacting site within scope of responsibility. Coordinates with Senior Director to ensure accountability of all staff and assets for required reporting.
- Works in conjunction with Senior Director to coordinate with the Scheduling Department and Advising Department on all schedules for in-person and EagleVision Classroom instruction.
- Works with Senior Director to coordinate with the military site location lead Education Services Officer for student and staff access. Ensures all staff assigned to locations are compliant with Federal mandates for DoD access requirements (as applicable).
Site Fiscal Management
- Working with the Senior Director, assists with procurement, in line with Embry-Riddle Aeronautical University procurement policy and budget management within limits agreed with U.S. Site Management Budget Director.
- In collaboration with Senior Director works to develop, monitor, and control the fiscal year site budget.
- Responsible for the accurate and timely utility, rent, and submission of Site expense reports (Staples, Purchase Order, Travel Authorizations, etc.)
- In coordination with Senior Director, review operation at site to ensure most effective and efficient cost saving measures are in place for cost management.
- Ensure attendance and understanding of all key topics delivered in fiscal training annually and periodically as deemed necessary.
- Working with Senior Directors, develop forecast budget to support marketing material requests for anticipated venues, as well as travel costs.
- Responsible for the safeguarding of all University assets, including physical property, materials, and funds.
Site Compliance Management
- Working with Senior Director, provides data and information to Worldwide Headquarters State Authorizations department for State government agencies in licensing and compliance issues.
- Working with Senior Director, provides data and information to Worldwide Headquarters State Authorizations department for Southern Association of Colleges and Schools (SACS) accrediting body for all University compliance issues.
- Coordinates with the educational services office and productively interacts with applicable Educations Services Officer.
- Liaison with University Cleary Act compliance POC and Senior Director for regulatory requirements.
- Responsible for the inventory control items at the site location and ensures timely compliance on annual requirement for accountability.
- Responsible for coordinating with Senior Director and Veterans Affairs department to ensure all VA department visits are coordinated and assistance provided as necessary.
- Ensures all Internal Audit compliance requirements are met at all times and quickly coordinates all corrective actions on finding(s) with appropriate sites and department coordinators.
Qualifications
- Bachelor's Degree
- 3-5 years of relevant experience
- Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, SharePoint, Outlook/Email, and Internet end-user applications
- Candidates must have strong customer service experience and excellent communication skills. A customer-first attitude and professionalism are essential.
